Job description

We’re looking for an experienced, hands-on Office Manager to lead day-to-day operations at our outpatient clinic in Newton. This role is ideal for someone who knows how to run a medical office, lead a team with confidence, and keep things moving without constant direction.

You’ll oversee staff, support patient experience, manage office operations, and ensure everything runs efficiently—from scheduling and billing coordination to compliance and quality improvement.

What You’ll Do

  • Lead and support outpatient clinic staff through regular supervision, coaching, and performance management
  • Manage daily office operations, ensuring accuracy, efficiency, and high-quality service
  • Coordinate staff scheduling and coverage to maintain smooth operations
  • Monitor key reports (billing, scheduling, insurance verification) and resolve issues proactively
  • Support hiring, onboarding, and ongoing training for support staff
  • Serve as a point of contact for patient concerns and ensure timely resolution
  • Maintain compliance with organizational policies, safety standards, and regulatory requirements
  • Collaborate with leadership and other departments to improve processes and patient care
  • Oversee financial-related workflows, including patient account follow-up and collections coordination
  • Participate in quality assurance and performance improvement initiatives
  • High school diploma required; Bachelor’s degree in Healthcare Administration, Business, or related field preferred (or equivalent experience)

  • At least 5 years of experience in a medical office or managed care setting

  • Minimum of 2 years of supervisory experience

  • Strong working knowledge of healthcare systems and office operations

  • Proven ability to lead, motivate, and hold a team accountable

  • Excellent communication and interpersonal skills

  • Highly organized with strong problem-solving abilities
