Receptionist

Provides general office support by performing a variety of clerical and administrative duties. The Receptionist is responsible for answering incoming calls, directing calls to the appropriate associates, distributing mail, managing the flow of correspondence, requisitioning office supplies, and performing additional clerical duties as directed by management.

Essential Functions

  • Answer incoming telephone calls and direct callers to the appropriate associate.
  • Transfer calls to voicemail when necessary and send an email containing the message information.
  • Ensure all messages are complete and include the caller's name, phone number, company (if applicable), and a brief description of the message.
  • Check voicemail every morning and email the appropriate personnel with all messages received.
  • Forward any employee voicemails regarding callouts, late arrivals, or attendance issues to Human Resources and Payroll via email. Include the employee's name, phone number, and, if possible, their job location.
  • Call employees back for additional information when required.
  • Take and retrieve messages for various personnel.
  • Follow up with an email to the appropriate individual to ensure messages are received and delivered.
  • Provide callers with company information, including the company address, directions, fax numbers, website, and other related information.
  • Provide employment applications to interview candidates and ensure each application is fully completed before presenting it to management.
  • Notify upper management when scheduled interview candidates arrive.
  • Coordinate the pickup and delivery of express mail services (FedEx, UPS, etc.).
  • Check mailboxes daily, sort incoming mail, and distribute mail to the appropriate personnel.
  • Assist with ordering, receiving, stocking, and distributing office supplies, including but not limited to paper, toner, ink, pens, plates, cups, coffee, and any other supplies necessary for daily operations.
  • Conduct an inventory of office supplies every Friday and provide a list identifying items that are low in stock and need to be reordered.
  • Assist with other clerical duties, including scanning, photocopying, faxing, and filing documents.
  • Check all folders daily to ensure employee forms that have been dropped off are properly routed to Human Resources.
  • Perform other clerical and administrative duties as assigned by management.

Required Education and Experience

  • High school diploma or Associate's degree.
  • Minimum of one (1) year of administrative experience.
  • Bilingual (Spanish and/or Portuguese is a must).

Compensation & Benefits Pay: $16.00- $18.00 hourly (based on experience and qualifications.) Benefits Include:
