Position Summary

All Year Cooling and Plumbing is seeking a professional, friendly, and dependable Receptionist to join our Coral Springs team. As the first point of contact for customers, visitors, vendors, and employees, the Receptionist plays an important role in creating a welcoming and professional experience.

This position is responsible for managing the front desk, greeting visitors, answering and directing incoming calls, assisting with general administrative duties, and providing support to various departments throughout the organization.

Key Responsibilities
  • Front Desk Management: Greet and assist customers, visitors, vendors, and employees in a friendly and professional manner.
  • Phone Support: Answer incoming calls promptly and professionally, determine the nature of the call, and route callers to the appropriate department or team member.
  • Customer Service: Provide courteous and responsive assistance while maintaining a positive and professional demeanor.
  • Visitor Coordination: Monitor front-office activity, notify appropriate employees of visitor arrivals, and help maintain an organized reception area.
  • Administrative Support: Assist with general clerical and administrative tasks, including scanning, filing, copying, data entry, and document preparation.
  • Mail amp; Deliveries: Receive, sort, and distribute incoming mail, packages, and deliveries to the appropriate departments.
  • Communication: Relay messages accurately and communicate effectively with customers, coworkers, vendors, and management.
  • Office Organization: Help maintain a clean, organized, and professional front-office and reception area.
  • Recordkeeping: Maintain accurate records and documentation as assigned.
  • Team Support: Assist departments with administrative projects and perform other related duties as assigned.
Qualifications amp; Requirements

Required Qualifications

  • Previous receptionist, front desk, customer service, or administrative experience preferred.
  • Professional and friendly demeanor with strong interpersonal skills.
  • Excellent verbal and written communication skills.
  • Strong customer service skills and a professional telephone presence.
  • Ability to remain organized and composed in a fast-paced office environment.
  • Strong attention to detail and ability to manage multiple tasks and priorities.
  • Basic proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Ability to learn and navigate company software and office systems.
  • Dependable, punctual, and able to maintain regular attendance.
  • Ability to reliably work the scheduled hours, Monday - Friday, 8:00 AM - 5:00 PM, with rotating Saturdays.
  • Ability to work independently while contributing effectively as part of a team.

Preferred Qualifications

  • Previous experience in a receptionist, administrative assistant, or customer-facing office role.
  • Experience working in a high-volume phone or customer service environment.
  • HVAC, plumbing, home services, or similar industry experience.
  • Bilingual communication skills are a plus.
