The Bilingual Medical Receptionist / Patient Coordinator plays a crucial, high-visibility role in managing our front-desk operations, ensuring smooth visitor reception, efficient phone management, and high-value appointment scheduling. Supporting office coordination and customer service within a talented, medium-sized reception team, this role reports directly to the Office Manager and Administrative Supervisor. The coordinator will utilize specialized medical office software to maintain pristine records and communications with minimal to no travel requirements.

What You’ll Do (Responsibilities):

  • Cultural & Language Connection: Serve as the primary dual-language heart of the practice, providing flawless, empathetic communication in both English and Spanish for our patients.
  • The First Impression: Greet and assist all visitors promptly and courteously with absolute poise, unmatched warmth, and a radiant smile.
  • Seamless Phone & Client Management: Manage incoming phone lines, direct calls appropriately, handle patient inquiries, and resolve concerns with grace and precision.
  • Elite Appointment Scheduling: Schedule and coordinate complex surgical and aesthetic patient appointments effectively, ensuring perfect alignment of appointment coordination across the entire staff.
  • System & Record Management: Utilize specialized medical office software to maintain accurate, secure, and up-to-date patient records and streamline daily office communications.
  • Daily Office Operations: Coordinate daily office flows, front-of-house logistics, and collaborative front-desk communications under the direction of the Office Manager.
  • Maintain the Aesthetic Sanctuary: Ensure the front lounge and reception spaces remain immaculately presented, pristine, and curated like a high-end luxury boutique.

Requirements & Preferred Qualifications:

  • Language (MANDATORY): Complete verbal and written fluency in both Spanish and English is required to successfully communicate complex medical, scheduling, and financial details.
  • Experience: High school diploma or equivalent required; 2+ years of experience in office administration, medical/aesthetic reception, luxury retail, or premium hospitality is highly preferred.
  • Technical & Execution Skills: Proficient phone handling abilities, effective scheduling capabilities, strong multitasking skills, and comfort operating specialized office/EMR software.
  • The Presentation: Flawless professional style, an elegant presence, and exceptional communication and organizational skills appropriate for an elite front-desk team.
  • The Mindset: A deeply caring, nurturing personality with a genuine love for health, beauty, and wellness.
