Job description

As an integral member of the Marketing team, the Marketing Coordinator is in charge of implementing and ensuring the successful completion of a wide variety of advertising and promotional tactics that contribute to the goals of the Marketing Department. Also, the Marketing Coordinator plays a key role in shepherding the production of the large variety of collateral materials distributed by the Marketing Department and in doing so must confidently interface with internal stakeholders of all levels, as well as external vendors, to ensure that each project effectively resonates with its intended audience(s), as well as stays on deadline and within budget. Finally, the Marketing Coordinator spearheads the timely submission of all departmental invoices, as well as tracks and reports on all departmental expenditures to senior staff.

Essential Responsibilities

·         Regularly interface with print, broadcast, and online media vendors to execute and ensure successful delivery of media purchases that match the tactics delineated in the Marketing Department’s strategic advertising and promotion plan.

·         Research and suggest new media outlets in print, broadcast and online that can contribute to and help build upon successful message dissemination to key audiences.

·         Traffic the production of printed and online advertisements, direct mail pieces, brochures, newsletters, and other assigned collateral. Tasks include developing production schedules and ensuring deadlines are met by all project participants, collecting and submitting content to designers, communicating desired creative outcomes to designers, reviewing designers’ proofs before submission to senior staff for approval, and providing designers with necessary final edits and printer instructions.

·         Purchase and maintain the inventory of promotional items to be used at point of sale and special events

·         On a monthly basis, develop and distribute comprehensive calendars that clearly exhibit to senior staff and sales managers all media outlets engaged and ads in use during that time period.

·         Develop and maintain an online advertising archive that will aid in quick and convenient research of past advertising history and retrieval of ad proofs.

·         Develop and maintain an online photo archive that will aid in creation of advertisements and other collateral.

·         Assist senior staff in the planning and oversight of on-site photo shoots

·         Handle payment of departmental invoices and aid senior staff with budget planning via careful maintenance of a comprehensive spreadsheet that chronicles all departmental expenditures.

·         Coordinate and prepare mailings for internal and external audiences as directed by senior staff.

·         Assist in the planning and implementation of special events, including marketing open houses, special themed events for “hot prospects,” and a variety of enhanced living signature events.

·         Assist in the hosting of open houses and special events at all the communities, including, but not limited to: set up of display tables, maintaining welcome tables, shipping of materials, etc.
