Job description

Holladay Ventures is seeking a versatile, proactive Operations Manager whose primary focus is serving as the operational point of contact for the Affordable Development Mastery (ADM) coaching program - handling member questions, enrollment, scheduling, and billing - alongside supporting Traditional Operations and Resident Services. This role absorbs the day-to-day operations work currently managed by company leadership, freeing leadership to focus purely on company-wide strategy and execution. The Operations Manager translates company vision into actionable plans, keeps departments aligned, and ensures the day-to-day machinery of the business runs smoothly.
Holladay Ventures is an award-winning real estate development company specializing in workforce, affordable, and mixed-income housing that improves residents' lives and the environment. ADM (Affordable Development Mastery) is Holladay Ventures' 12-month mentorship and mastermind program for real estate investors becoming affordable housing developers, run alongside the core real estate business - and a pipeline for potential deal partnerships with Holladay Ventures.
Key Responsibilities
ADM (Affordable Development Mastery) Manager
  • Serve as the primary point of contact for ADM member questions - answer foundational questions on affordable housing development process, terminology, and program structure; escalate deal-specific or advanced questions to the coaching team
  • Manage the ADM inbox, enrollment, scheduling, and billing/invoicing for the program
  • Point members to the correct ADM resources, recordings, and frameworks
  • Flag recurring questions, confusion points, or community risks to leadership
  • Coordinate with coaching staff to ensure a smooth client experience (this role manages ADM's business/operations side and day-to-day community moderation, but not coaching delivery)
  • Hiring and onboarding new ADM staff and ADM members

Traditional Operations
  • Serve as liaison between departments, and between the Integrator/leadership team and employees, on company goals, policies, and initiatives
  • Assist with day-to-day HR administration: liaise with the HR consulting agency on job descriptions, maintain the Employee Handbook, and manage onboarding/offboarding
  • Organize training sessions, build onboarding programs, and encourage continuous learning across the team
  • Support company culture: coordinate office events, off-sites, all-hands, employee appreciation, and team outings
  • Support the Accounting Manager on AP/AR and budgeting
  • Keep legal entities in good standing (annual reports, franchise & excise taxes, etc.)
  • Support technology needs across the organization as they arise

Resident Services
  • Partner with the Director of Ops for resident empowerment programs across the property portfolio - community engagement, resident retention, and satisfaction/complaint resolution
  • Serve as the primary point of oversight for the third-party property management company's resident services function
  • Develop a resident feedback loop and share information with leadership to help shape future design and programming

What Success Looks Like
Success in this role means: ADM members receive responsive, organized support; internal operational issues are resolved before they become leadership issues; employees have a strong onboarding and team experience; resident feedback reaches the right people; and leadership has greater capacity to focus on strategy rather than day-to-day administration.
Qualifications
  • Bachelor's degree or equivalent work experience
  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite
  • Proficiency in Ai and ability to learn new software

Skills
  • Self-starter who is extremely detail-oriented and organized
  • Able to manage multiple priorities and stay timely under pressure
  • Comfortable working independently and collaboratively in a small-team environment
  • Strong leadership instincts and ability to inspire team members
  • Technologically savvy
  • Positive, flexible demeanor; thrives in a fast-paced, entrepreneurial environment
  • Innovative in solving unique operational problems

Interested?
If you're energized by creating structure, solving problems, supporting people, and making things happen-and you want your work to contribute to something bigger-we'd like to hear from you.
