Your Opportunity
As a Payroll Administrator, you'll have an exciting opportunity to join our U.S. Payroll team. Reporting to the Payroll Manager, you'll play a critical role in ensuring employees are paid accurately and on time while supporting payroll operations across multiple states.
In this role, you'll process payroll transactions, maintain payroll records, resolve employee inquiries, audit payroll data, and help ensure compliance with federal, state, and local payroll regulations. Your Key Responsibilities
  • Process payroll-related transactions, including employee direct deposit, tax, and payroll data changes, ensuring accuracy and compliance.
  • Audit payroll reports and data entry to identify and resolve discrepancies before payroll processing.

Research and respond to employee payroll inquiries, resolving routine issues and escalating more complex matters when appropriate.
  • Help manage the Payroll Manual Timecard inbox, review requests for completeness, and enter approved manual timecard corrections.
  • Prepare, process, and distribute manual payroll checks, reversals, and related payroll adjustments.
  • Provide backup support for Certified Payroll and Prevailing Wage administration.
  • Maintain accurate payroll records through daily data entry, document management, and filing.
  • Assist with payroll balancing, reconciliation, and payroll quality control activities.
  • Maintain payroll documentation, standard operating procedures, and process documentation to support consistent payroll operations.
  • Partner with Human Resources, Benefits, Finance, and other internal stakeholders to resolve payroll-related questions and ensure accurate payroll processing.
  • Support payroll process improvements and contribute to enhancing payroll procedures and operational efficiency.
  • Perform other payroll and administrative duties as assigned.

Your Capabilities and Credentials
  • Experience processing payroll using automated payroll and timekeeping systems.
  • Experience with multi-state payroll processing and payroll compliance.
  • Working knowledge of federal, state, and local payroll laws and regulations.
  • Knowledge of Fair Labor Standards Act (FLSA) requirements.
  • Prevailing Wage and Certified Payroll experience preferred.
  • Strong attention to detail with excellent analytical and problem-solving skills.
  • Ability to prioritize competing deadlines while maintaining a high degree of accuracy in a fast-paced environment.
  • Excellent customer service, interpersonal, written, and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple priorities and repetitive tasks.
  • Demonstrates professionalism, confidentiality, discretion, and sound judgment when handling sensitive employee information.
  • Intermediate to advanced proficiency with Microsoft Office applications, particularly Excel.
  • Experience with Oracle HRMS, Oracle Time & Labor, or similar enterprise payroll systems preferred.

Education and Experience
  • High school diploma or equivalent required.
  • Minimum of 1-3 years of payroll experience, or an equivalent combination of post-secondary education and relevant payroll experience.
  • Payroll certification (Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP)) is preferred.

Pay Transparency: In compliance with pay transparency laws, pay ranges are provided for positions in locations where required. Please note, the final agreed upon compensation is based on individual education, qualifications, experience, and work location. At Stantec certain roles are bonus eligible. Actual compensation for part-time roles will be pro-rated based on the agreed number of working hours per week.
Benefits Summary: Regular full-time and part-time employees (working at least 20 hours per week) have access to medical, dental, and vision plans, a wellness program, health saving accounts, flexible spending accounts, 401(k) plan, employee stock purchase program, life and accidental death & dismemberment (AD&D) insurance, short-term/long-term disability plans, emergency travel benefits, tuition reimbursement, professional membership fee coverage and paid family leave. Regular full-time and part-time employees will receive ten paid holidays in each calendar year. In addition, employees will be eligible to accrue vacation between 10 and 20 days per year and eligible for paid sick leave (and if more generous, in accordance with state and local law).
Temporary/casual employees have access to 401(k) plans, employee stock purchase program, and paid leave, in accordance with state and local law.
