Payroll Specialist
Location: Springfield, MO (Onsite)
Job Overview
We are seeking an experienced and detail-oriented Payroll Specialist to join our team in Springfield, Missouri. This onsite role is responsible for ensuring the accurate and timely processing of payroll for a diverse, multi-state workforce while maintaining compliance with all applicable federal, state, and local regulations.
The ideal candidate will have strong experience with payroll processing, HRIS platforms, data management, and employee support. This individual will work closely with Human Resources, Operations, and Management teams to ensure payroll accuracy, system integrity, and regulatory compliance. The Payroll Specialist will analyze payroll data, resolve discrepancies, audit employee records, support system enhancements, and assist with year-end reporting and reconciliation processes.
Key Responsibilities
  • Process multi-state payroll accurately and on schedule.
  • Manage large volumes of payroll information to ensure timely and accurate payroll processing.
  • Ensure compliance with wage and hour laws, payroll tax regulations, garnishments, and company policies.
  • Resolve payroll discrepancies through research, analysis, and collaboration with internal stakeholders.
  • Analyze payroll data using advanced Excel functions and reporting tools.
  • Audit employee records and coordinate necessary updates with internal business partners.
  • Support HRIS system implementations, upgrades, testing, and enhancements.
  • Create and maintain payroll software standard operating procedures and assist with end-user training.
  • Provide guidance and support regarding payroll processes, timekeeping systems, and HRIS functionality.
  • Assist with year-end payroll activities, reporting, and reconciliations.
  • Work with payroll providers to ensure payroll taxes are filed accurately and timely.
  • Apply for and maintain tax IDs as needed.
  • Create reports, dashboards, tables, and graphs to support payroll operations and decision-making.
  • Perform other related duties and special projects as assigned.
Required Qualifications
  • Bachelor's degree in Business, Finance, Accounting, Human Resources, or a related field.
  • Minimum of 5-7 years of payroll experience, preferably in a healthcare environment.
  • Experience processing multi-state payroll.
  • Experience with payroll tax reconciliation, auditing, and ensuring accurate payroll tax filings through payroll providers.
  • Strong knowledge of payroll laws, wage and hour regulations, payroll taxes, and garnishments.
  • Advanced Excel skills, including Pivot Tables, VLOOKUPs, XLOOKUPs, and data analysis.
  • Experience creating reports, tables, graphs, and managing databases.
  • Experience with HRIS/HCM systems such as UKG, ADP, Workday, or similar platforms.
  • Strong analytical, organizational, and problem-solving skills.
  • Superior customer service skills and ability to work effectively with employees at all levels.
  • Excellent attention to detail and ability to handle confidential information.
  • Proficiency in Microsoft Office Suite, including Teams, Word, Excel, and Outlook.
  • Proven ability to thrive in a fast-paced environment while meeting strict deadlines.
  • Ability to develop, organize, and document procedures in a logical and methodical manner.
Preferred Qualifications
  • Certified Payroll Professional (CPP) certification, or currently working toward obtaining certification.
