About the Opportunity - Payroll Specialist
Our client is seeking a detail-oriented Payroll Specialist to support payroll operations in a fast-paced, team-oriented environment. This role is responsible for ensuring accurate and timely payroll processing, maintaining compliance with payroll regulations, and providing exceptional service to employees and internal stakeholders. The ideal candidate brings strong attention to detail, payroll expertise, and the ability to manage confidential information with professionalism and integrity.


Key Responsibilities - Payroll Specialist

  • Process payroll accurately and on schedule while ensuring compliance with payroll laws and company policies.
  • Perform payroll calculations including retroactive pay, vacation payouts, leave of absence pay, prorated salaries, additional compensation, and benefit arrears collections.
  • Reconcile payroll prior to transmission and validate payroll reports after processing.
  • Confirm employee timesheets are submitted and approved by established deadlines.
  • Review and verify timesheets for accuracy and completeness.
  • Coordinate payroll-related employee changes, including new hires, terminations, and status updates.
  • Maintain and update employee tax setups to ensure compliance with multi-state payroll requirements.
  • Review paid time off balances and ensure alignment with company policies.
  • Process wage garnishments and support off-cycle payroll payments as needed.
  • Assist with quarterly reporting and year-end payroll activities, including W-2 processing.
  • Research and respond to employee payroll inquiries in a timely and professional manner.
  • Stay informed on payroll regulations, tax requirements, and industry best practices.
  • Collaborate with Human Resources and Accounting/Finance teams to ensure payroll accuracy and compliance.
  • Maintain strict confidentiality of payroll data and employee information.
  • Provide backup support for payroll team members and assist with additional duties as assigned.

Qualifications - Payroll Specialist

  • High school diploma or equivalent required.
  • Associate’s or Bachelor’s degree in Accounting, Business Administration, Office Management, or a related field preferred.
  • Previous payroll processing experience required.
  • Experience with multi-state payroll processing strongly preferred.
  • Working knowledge of payroll tax regulations, wage and hour laws, garnishments, and payroll calculations.
  • Intermediate to advanced proficiency in Microsoft Office applications, particularly Excel.
  • Strong organizational, time management, and prioritization skills.
