Summary of PurposeSupervises College's payroll department and related accounting functions. Supervises payroll staff to ensure appropriate deadlines are met. Works with Director of Payroll to determine new accounting and reporting processes required to meet federal and state regulations and College needs. This position is expected to work in a multi-cultural diverse working environment.
Typical DutiesThis description is intended to indicate the types of duties and responsibilities requested of the employee assigned this title. It is not intended to be an exhaustive list of all the duties and responsibilities that may be required:
1. Supervises payroll staff to include the assignment and distribution of duties and projects, training, performance evaluation, and providing problem resolution for payroll staff functions; ensures work assignments are completed to meet accounting deadlines; motivates and encourages staff to perform duties accurately and efficiently.
2. Reviews payroll reports/entries to ensure accuracy and timely completion of bi-weekly payroll as well as quarterly and annual reporting (e.g., taxes, W2's, 1099's, MPSERS, MESC, Worker's Comp, and other state and federal reports).
3. Assists in researching future needs for payroll processes; determines needs of updated computerized systems, forms, and processes; recommends changes to Director of Payroll.
4. Supervises and reviews quarterly and year-end reports; reconciles reports to payroll history and general ledger; determines if changes in reporting system are required and, if so, recommends how to facilitate changes.
5. Works closely with Human Resources and other departments to determine documents required to change payroll data; addresses questions and problems relating to payroll; researches problems to determine appropriate action.
6. Handles questions from payroll-related vendors and employees regarding incorrect payments and missing checks; resolves issues with payroll-related vendors; works with College departments to streamline payroll-related paperwork/documentation; analyzes and problem-solves technical issues related to payroll.
7. Maintains records and prepares schedules of payroll, accruals, vacation, and sabbatical liabilities for audits and other period reporting requirements; reconciles payroll-related general ledger accounts on a regular basis and prepares audit schedules for Payroll.
8. Maintains current knowledge of regulations, schedules, and laws relating to payroll.
9. Performs backup duties for the Accounts Payable (AP) and Fixed Assets Supervisor.
10. Performs other related duties, as assigned.
11. Ability to work additional hours, as needed.
Knowledge and Skills Required• In-depth knowledge of payroll regulations and compliance requirements
• Strong leadership, analytical, and communication skills
• Experience with ERP/payroll systems
Minimum Education and ExperienceEDUCATION: Bachelor's degree in Accounting, Finance, Business Administration or related field
EXPERIENCE: Four (4) years of experience in payroll with integrated financial systems including at least two (2) years of experience in a supervisory capacity.
