Position Overview

The Payroll Tax Analyst is a key member of the Corporate Payroll team -working in a hybrid model from Milwaukee, WI or Rosemont, IL and is responsible for ensuring accurate and compliant payroll tax processing across U.S. operations. This role owns payroll tax compliance, filings, reconciliations, and agency interactions, and partners closely with Payroll, HR, Finance, and third-party vendors to ensure adherence to federal, state, and local regulations.

The Payroll Tax Analyst acts as a subject matter expert for payroll tax matters, providing guidance to payroll team members and cross-functional partners. This role is critical in maintaining strong internal controls, supporting audits, and driving continuous improvement in payroll tax processes and systems. This is a hybrid position working from either Rosemont, IL or Milwaukee, WI.

Key Responsibilities

  • Ensure accurate and timely payroll tax filings and payments across all U.S. jurisdictions (federal, state, and local)
  • Partner with third-party tax vendor to monitor filing status, funding, and issue resolution; prepare filings for jurisdictions not supported by the vendor
  • Perform and review payroll tax reconciliations (Forms 941, W-2, state and local returns) and resolve variances with payroll and general ledger
  • Maintain and execute payroll tax controls to support SOX compliance and audit readiness
  • Manage payroll tax notices, agency correspondence, and audits through resolution, including penalty mitigation when applicable
  • Ensure accurate tax setup and compliance for new hires, transfers, and multi-state work arrangements within the payroll system (Dayforce)
  • Support tax account registrations and compliance setup for new entities, business expansions, mergers, and acquisitions
  • Lead year-end payroll tax activities, including W-2 balancing, validation, and distribution support
  • Identify and implement process improvements, and contribute to SOPs and documentation to enhance accuracy and efficiency
  • This is a hybrid role working from Milwaukee, WI or Rosemont, Il 3 days a week.

Required Skills & Qualifications

  • 5+ years of progressive payroll tax experience in a complex, multi-state U.S. environment, supporting high-volume, multi-company organizations (5,000+ employees)
  • Experience managing federal, state, and local tax registrations and account maintenance, including new entity setup and jurisdictional expansions
  • Strong knowledge of U.S. payroll tax regulations and filings (e.g., Forms 941, W-2)
  • Experience working with payroll tax vendors and payroll systems (Dayforce preferred), including tax setup, configuration, and issue resolution
  • Understanding of internal controls and SOX compliance, with experience supporting audits and maintaining payroll tax documentation
  • Advanced analytical and problem-solving skills, including payroll tax reconciliations and proficiency in Microsoft Office (Excel, Word, Outlook)
  • Ability to act as a subject matter expert, providing guidance to stakeholders and driving process improvements
  • Strong attention to detail, organizational skills, and ability to handle sensitive and confidential employee information with discretion

Expected Base Salary Range: 69,100 - 103, 600

The salary range provided is intended to display the value of the company's base pay compensation for this position. Salary is dependent on a multitude of factors, including but not limited to the physical worksite location, the geographic market of that location, candidate's skill set, level of experience, education and internal peer compensation comparisons among other potential factors
