Job Title: Global Payroll Specialist (US & Canada)
Role Overview
We are seeking a detail-oriented and service-driven Payroll Specialist to join our Corporate Payroll team. In this role, you will be the direct point of contact for employees and management regarding their professional compensation and data inquiries. This is a high-visibility position that requires a unique blend of technical accounting precision, regulatory compliance, and "white-glove" customer service.
You will manage the end-to-end payroll lifecycle for our US and Canadian operations, ensuring that every transaction is processed with absolute accuracy while maintaining the highest levels of confidentiality. The ideal candidate is an innovative problem-solver who does not just "process" payroll but proactively identifies process gaps, improves system documentation, and drives continuous improvement in our payroll operations.
Key Responsibilities
Payroll Processing & Compliance
• Cycle Execution: Process multi-jurisdictional US and Canadian payrolls, ensuring all calculations, deductions, and distributions are executed with 100% accuracy and timeliness.
• Tax Reporting: Manage the accurate preparation and filing of essential tax documentation, including Form 941, W-2s, T4s, and all other relevant regional tax filings.
• Reconciliation: Perform comprehensive payroll reconciliations, balancing accounts to identify and remediate any discrepancies before final distribution.
Data Integrity & Process Improvement
• System Stewardship: Serve as a subject matter expert for our payroll and data management systems. Proactively monitor data flows to ensure information remains compliant and secure.
• Process Documentation: Maintain and update all standard operating procedures (SOPs) and manuals, ensuring our payroll operations are scalable and audit-ready.
• Continuous Improvement: Challenge the status quo. Identify areas where manual processes can be automated or streamlined, and provide recommendations for system/process enhancements.
Stakeholder Collaboration & Support
• Executive Liaison: Serve as a trusted advisor to management and employees. Direct, support, and communicate complex personnel/payroll decisions with professionalism, discretion, and empathy.
• Cross-Functional Support: Act as the secondary processor for non-exempt payrolls; collaborate with HR, Finance, and IT departments to solve cross-departmental data issues.
• Customer Service: Approach every interaction with a customer-focused mindset, ensuring employees receive timely, clear, and accurate guidance regarding their compensation.
Qualifications & Requirements
Minimum Qualifications
• Experience Baseline: Minimum of three (3) years of general office, accounting, or payroll experience. (Direct payroll experience is highly preferred).
• Education: Associate's or Bachelor's degree in Business, Accounting, or a related field (or equivalent professional experience).
• Technical Mastery:
oIntermediate-to-advanced proficiency in Microsoft Excel (VLOOKUP, Pivot Tables, data manipulation).
oDemonstrated ability to manage multi-system data environments.
oStrong understanding of mathematical and accounting procedures.
• Soft Skills: Exceptional attention to detail; ability to maintain high levels of confidentiality; proven ability to manage multiple competing priorities in a deadline-driven environment.
Preferred Attributes
• Strong strategic thinking skills; ability to make calculated decisions under pressure.
• Experience with automated payroll systems and master data management platforms.
