Job Title: Payroll Associate
Job Description

The Payroll Associate manages full-cycle, multi-state payroll for a portfolio of properties in a high-volume, fast-paced environment. This role ensures accurate and compliant processing of wages, benefits, deductions, and taxes while maintaining precise payroll records and supporting both employees and leadership with timely information. The Payroll Associate contributes to process improvements, supports audits, and plays a key role in maintaining the integrity of payroll data across multiple locations.

Responsibilities

  • Process and manage full-cycle, multi-state payroll using designated payroll and timekeeping systems for approximately 13 properties with employee populations ranging from about 20 to 200 per site.
  • Process biweekly payroll accurately and on time in a fast-paced environment while meeting strict deadlines.
  • Maintain and update employee payroll records, including exemptions, benefits, deductions, job changes, and transfers.
  • Ensure accurate payroll processing, including regular wages, bonuses, garnishments, PTO accruals, and tax withholdings.
  • Research, identify, and resolve payroll discrepancies and issues in a timely and professional manner.
  • Oversee payroll compliance with federal, state, and local regulations, including preparation and support of 941 reporting and tax filings.
  • Prepare and distribute payroll via direct deposit or check, ensuring accuracy and confidentiality.
  • Generate and analyze payroll-related reports on a weekly, monthly, quarterly, and year-end basis, including earnings, taxes, benefits, and accruals.
  • Support internal and external audits by providing accurate payroll data and documentation, ensuring data integrity.
  • Respond to employee inquiries related to payroll and benefits, providing clear and timely communication and issue resolution.
  • Maintain and update payroll systems to reflect employee changes such as wage adjustments, benefits updates, and PTO changes.
  • Assist with system updates, including setup of new properties and closure of locations as applicable.
  • Provide payroll support across multiple locations, currently supporting four properties with additional expansion underway.
  • Utilize payroll systems such as Workday (preferred) and effectively adapt experience from systems like ADP or UKG.
  • Assist with payroll tax activities as needed, contributing to accurate filings and compliance (preferred but not required).
  • Contribute to continuous process improvements and operational efficiency within the payroll function.
  • Demonstrate leadership and supervisory capabilities when coordinating tasks, supporting team members, and ensuring consistent payroll practices.
  • Manage multiple priorities and deadlines while maintaining high accuracy and attention to detail.
  • Perform additional payroll-related duties and projects as assigned.
Essential Skills
  • At least 3+ years of payroll experience required; 5+ years of payroll experience preferred.
  • 3–5+ years of experience managing multi-state payroll and/or a Bachelor’s degree.
  • Demonstrated experience managing payroll in multi-state environments.
  • Background working in high-volume, fast-paced settings.
  • Strong knowledge of payroll and timekeeping systems.
  • Proficiency in Microsoft Office, particularly Excel, including handling and analyzing numerical data.
  • Working knowledge of federal, state, and local payroll tax regulations.
  • Strong mathematical, analytical, and critical thinking abilities.
  • Excellent verbal and written communication skills.
  • High attention to detail with strong organizational and follow-through skills.
  • Proven leadership and supervisory capabilities within a payroll or related function.

Work Environment

This role is based on-site with an initial requirement of working in the office five days per week to ensure strong integration with the team and operations. Standard hours are generally 7:30 AM to 5:00 PM, with adjustments during the contract period to a regular 8:00 AM to 5:00 PM schedule to avoid overtime. After approximately 4–6 pay periods, the position becomes eligible for a compressed work schedule, which may include an alternating Friday off schedule and up to two remote days when working full days, subject to business needs. The environment is high-volume and fast-paced, supporting multiple properties and multi-state payroll processing using modern payroll and timekeeping systems, including Workday (with experience in ADP or UKG also valued). The role is hourly during the contract period, with a focus on accuracy, confidentiality, and collaboration across locations. Pay and Benefits

The pay range for this position is $24.04 - $24.04/hr.
