Job description

Payroll Administrator (Multi-State) - On Site

Green Bay, WI (Corporate Office).

Home Instead is seeking a detail-oriented Payroll Administrator to join our established and collaborative corporate team, you will have direct access to Finance and HR leadership in Green Bay, WI. This role is On-Site and responsible for supporting multi-state payroll operations, ensuring accuracy, compliance, and timely processing across multiple locations. You will be a trusted member of our Corporate Finance team, helping ensure more than 1,500 employees are paid appropriately and on time.

The ideal candidate is organized, analytical, and thrives in a fast-paced environment while managing multiple priorities. This position plays a key role in maintaining strong relationships with our Care Professionals and internal teams, while supporting the overall financial health of the organization. This role also offers the opportunity to become a key resource for UKG Pro administration, helping support system enhancements, train managers and employees, and improve payroll and HR processes across the organization.

Key Responsibilities

  • Process new hires and employee changes across multiple locations and jurisdictions
  • Review payroll records to ensure accuracy, timeliness, and compliance with regulations
  • Apply knowledge of multi-state payroll tax requirements, including withholding and reporting
  • Process wage garnishments, levies, and other court-ordered deductions
  • Research and resolve payroll discrepancies and process corrections as needed
  • Ensure accurate and timely payments by reviewing claims and resolving issues
  • Respond to employee payroll inquiries in a professional and timely manner
  • Identify opportunities for process improvements and increased efficiency
  • Training managers and employees on payroll and HR processes
  • Overall organizational UKG administration
  • Perform additional duties as assigned

Qualifications

Education & Experience

  • Associate degree in Accounting or related field preferred (or equivalent experience)
  • 3–5 years of payroll experience required
  • Experience with multi-state payroll tax requirements preferred
  • Working knowledge of federal and state labor laws preferred
  • Experience supporting employees with payroll-related questions is a plus

Technical Skills

  • Strong Excel skills required
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • UKG experience preferred
  • WellSky experience a plus

Knowledge, Skills, and Abilities

  • Strong attention to detail with a focus on accuracy and compliance
  • Ability to interpret and apply payroll regulations across multiple jurisdictions
  • Excellent communication skills and ability to build trust with employees and partners
