The Position
As a Hospital Procedure Scheduler, you'll coordinate and maintain procedure schedules for a wide range of hospital-based cardiology services-from cardiac catheterizations to device implants. You'll work closely with nurses, referral coordinators, and providers to ensure procedures are scheduled accurately, timely, and in compliance with insurance requirements.
Your Day-to-Day Work
  • Coordinate and schedule hospital procedures based on provider orders, patient needs, and hospital availability.
  • Assign appropriate CPT and ICD-10 codes for each procedure using clinical information provided.
  • Communicate scheduling details and updates to nurses, physicians, and patients.
  • Partner with referral coordinators to initiate or confirm required referrals and pre-authorizations.
  • Monitor the status of pending procedures and reschedule or cancel as needed based on insurance or clinical updates.
  • Start encounter notes in the EMR and update relevant teams regarding procedural changes.
  • Remind physicians of scheduled procedures using HIPAA-compliant tools and assist with general coordination needs.
  • Provide backup support to the Appointment Desk and assist with referral queue management when needed.
  • Maintain confidentiality and compliance with all CSC and HIPAA guidelines.
Environment and Shift Details
This is a full-time, in-office position, Monday-Friday, 8 a.m.- 5 p.m. Occasional travel between local clinics or hospitals may be required. Work involves sitting for extended periods, keyboarding, and frequent use of the phone.

Experience & Qualifications
Must-Haves
  • High School Diploma or GED
  • At least 6 months of experience in a medical office or healthcare setting
  • At least 1 year of experience scheduling medical procedures, using scheduling systems, and familiarity with basic coding (ICD-10/CPT)
  • Proficient computer skills and comfort with EHR systems
  • Strong organizational, communication, and multitasking skills

Nice-to-Haves
  • Knowledge of referral and insurance authorization processes
  • Experience with EPIC or hospital-based scheduling tools
  • Prior experience scheduling cardiovascular procedures
