Job description

Planning & Purchasing Support Clerk (Part Time)

The Planning & Purchasing Support Clerk will report to the Director of Planning & Purchasing and will directly support all Planning & Purchasing team functions by ensuring effective and time communications, data entry, purchase order creation & follow up, and report creation & follow up.

DUTIES AND RESPONSIBILITIES

Team Supporting Responsibilities Purchasing Function

  • In conjunction with Purchasing team members, ensures accurate, effective, and timely follow up communications on all Purchase Orders placed with Vendors/Suppliers.
  • As directed, create and update Purchase Orders with Zippo production team.
  • Maintains, using internal project management platforms, accurate, effective, and timely interdepartmental communications by ensuring entry of all updates.
  • As assigned, may communicate with vendors for production updates and status reports for entry into internal project management platforms.
  • As directed, work with an internal team to prepare and communicate Product Specification/Quality Standards with vendors.
  • Communicate with vendors throughout the cycle of development to include samples, spec review, pricing, production, quality control and shipments, as needed and assigned
  • Prepare necessary reports and analysis, as needed

Team Supporting Responsibilities Demand Planning Function

  • In conjunction with Demand Planning team members, perform data entry on forecasts within the demand planning software and/or excel tools
  • As directed, assist in monitoring and reporting on important changes in sales forecasts, budgets, and business strategies
  • Prepare necessary reports and analysis, as needed

Team Supporting Responsibilities Production Planning Function

  • In conjunction with Production Planning team members, perform data entry on forecasts within the demand planning software and/or excel tools
  • As assigned, assist in maintaining accurate inventory transfers to/from Zippo production team
  • As directed, assist in monitoring and reporting on important changes in production forecasts
  • Prepare necessary reports and analysis, as needed

Skills & Abilities:

  • Demonstrated excellent communication skills with internal and external customers
  • Must be highly organized, detail oriented with excellent math skills and maintain a high level of accuracy
  • Independent self-starter able to work well in a team-environment
  • Ability to efficiently work within rigid time constraints
  • Dedicated to task completion and has the ability to accurately complete multiple tasks with interruptions.
  • Demonstrated computer skills to include Microsoft office suite, corporate email, shipping/ERP platforms
  • Must be flexible and available to work additional hours when necessary

QUALIFICATIONS

  • High School diploma/equivalent
  • Demonstrated computer skills, including the ability to perform data entry and to learn various platforms
  • Strong interpersonal skills

***This is a part time position with planned hours of approximately 20 hours per week, generally performed during the hours of 8 am - 5 pm. This role is office hourly ($16.50 - $18.98), full on-site, and will report to Robert Lanik.***
