Job description


Job Title: Payroll Coordinator

Department: Accounting

Reports to:  Human Resource Director                                                

Status: Part-time (Non-Exempt)

Effective Date: February 14, 2024


Job Summary:

This position is responsible for all functions related to the accurate and timely processing of SSG's payroll in a multi-state environment. Success in this role requires experience with third-party payroll software, exceptional attention to detail, strong critical thinking skills, and a passion for process improvement. Because this position handles highly confidential employee information, the ideal candidate must demonstrate the highest level of integrity and discretion.


Duties/Responsibilities:

  • Process bi-weekly payroll, including salaries, bonuses, commissions, benefits, taxes, and other deductions while ensuring compliance with all federal, state, and local regulations.
  • Serve as the primary point of contact for employee payroll matters, answering questions, and providing guidance on payroll policies and procedures.
  • Maintain and administer the company's third-party payroll system in partnership with Human Resources, ensuring updates are completed to maintain compliance and support HR best practices.
  • Configure and maintain payroll mapping for personnel expenses and payroll liabilities to the general ledger.
  • Reconcile payroll-related expense sand liability accounts to the general ledger on a bi-weekly basis.
  • Prepare monthly payroll accruals for financial reporting.
  • Generate weekly, monthly, quarterly, and year-end payroll reports, including earnings, taxes, deductions, leave balances, disability, and non-taxable wages.
  • Partner with third-party payroll providers to ensure accurate and timely payroll processing, tax filings, reporting, and settlements.
  • Collaborate with internal departments and payroll providers to resolve issues and identify opportunities for process improvements.
  • Manage year-end payroll activities, including W-2 preparation and year-end adjustments.
  • Stay current on federal, state, and local payroll laws and regulations, ensuring ongoing compliance and advising management on required changes.
  • Partner with Sales, Human Resources, Finance, and other departments to ensure payroll consistency and accuracy.
  • Maintain strict confidentiality of employee payroll and compensation information.
  • Support management with special projects, reporting, and payroll analysis as needed.
  • Assist with internal and external audits related to payroll.
  • Perform other accounting responsibilities as assigned, including posting health insurance and other payroll-related benefit expenses.

Required Skills/Abilities:

  • Exceptional attention to detail and accuracy.
  • Strong analytical, critical thinking, and problem-solving skills.
  • Ability to handle highly confidential information with professionalism and discretion.
  • Advanced Microsoft Excel skills, including data analysis and reporting.

  • Strong communication and organizational skills are important.

Education and Experience:

  • Minimum of3 years of full-cycle payroll processing experience.
  • Experience processing multi-state payroll.
  • Advanced proficiency in Microsoft Excel.
  • Experience with ADP payroll software is preferred.
