An industrial specialty contractor is seeking an Operations Assistant to provide administrative support to their office in Santa Fe Springs, CA. The successful candidate will be reliable & well-organized, comfortable and experienced with handling the day-to day operations with a focus on efficiency and time management. This is a full-time, onsite position (not remote) that requires an energetic, detail-oriented professional who is a strong multitasker.


An industrial specialty contractor is seeking an Operations Assistant to provide administrative support to their office in Santa Fe Springs, CA. The successful candidate will be reliable & well-organized, comfortable and experienced with handling the day-to day operations with a focus on efficiency and time management. This is a full-time, onsite position (not remote) that requires an energetic, detail-oriented professional who is a strong multitasker.

Responsibilities:

Job/Contract/Billing

  • Review of reporting for open contracts and work with Project Managers to ensure contracts are invoiced timely and regularly updated.
  • Prepare monthly billings in coordination with Project Managers.
  • Maintain project information in the Company’s ERP throughout the project life.
  • Enter billings into Company’s ERP and send invoices to the customer or billing systems.
  • Work with Project Managers to obtain required paperwork.
  • Assist with miscellaneous correspondence as required.
  • Work with Project Managers in the preparation of correspondence to the customer documenting changes and impacts. When necessary, also help with the preparation of delay and impact claims.
  • Ensure subcontract agreements have been prepared for all subcontractors and proof of insurance is obtained.

Customers/Receivables

  • Follow up on invoices submitted.
  • Make regular collection calls and assist the corporate credit department in collecting receivables.
  • Maintain contact with the customer to ensure the timely collections of receivables. Ensure that our lien rights are not lost on accounts that may become collection problems.
  • Assist the Project Managers with customer relations as needed.

Other

  • Coordination with other administrative workers (full-time or part-time).
  • Cross-train on other administrative responsibilities to serve as a backup.
  • Order supplies and or distribution of office supplies.
  • Request of maintenance for office equipment.
  • Maintain office files.
  • Mail and/or Fax all correspondence on a timely basis.
  • Notify your manager immediately whenever a problem occurs that might have an impact on the Branch.
  • Other duties as assigned.

Required Qualifications:

  • High School diploma or equivalent
  • 3-5 years of broad-based experience in an administrative support role
  • Advanced in using Microsoft Office Products and an ERP System
  • Strong organizational, verbal and written communication skills
  • High level of professionalism and experience working independently and as part of a team
  • Attention to detail and ability to multi-task, work under pressure and meet deadlines

Preferred Qualifications:

  • Associates or Bachelor’s Degree
  • 5-10 years of experience in a construction office environment
  • Experience working in JDE Enterprise One
