Position Summary

The Office Assistant supports the Office Manager in daily administrative operations with a strong emphasis on construction administration and project accounting. This is a part-time, in-office position (approximately 20 hours per week). There may be an opportunity for additional hours or full-time status in the future based on business needs and performance; however, such changes are not guaranteed.

Key Responsibilities

  • Process and code vendor invoices to job cost codes with a high level of accuracy
  • Maintain job cost records and project files across multiple active construction projects
  • Perform accounts payable support including invoice review, matching, and data entry
  • Assist with timesheet job coding and tracking labor to projects
  • Maintain organized electronic and physical project records (contracts, invoices, change orders, COIs, etc.)
  • Coordinate subcontractor and vendor documentation (W-9s, insurance, invoices)
  • Perform accurate, high-volume data entry with strong attention to detail
  • Maintain strict confidentiality of financial and company information

Required Qualifications

  • 3+ years of experience in office administration, project accounting, or similar role
  • Experience with accounts payable processing and job cost coding
  • Intermediate to advanced proficiency in Microsoft Excel (data tracking, sorting, basic formulas)
  • Strong proficiency in Microsoft Outlook and Word
  • Ability to manage multiple projects and job-related tasks simultaneously
  • Demonstrated experience handling financial or job cost data with a high level of accuracy

Preferred Qualifications

  • Experience with Sage 100 or similar accounting software
  • Familiarity with construction project documentation (subcontracts, COIs, change orders, lien waivers)

Education & Experience

  • 35 years of experience in office administration, project accounting, or related field required
  • Experience with accounts payable, job costing, or financial data entry required
  • Associates degree or coursework in accounting, business, or related field preferred

Employment Classification

This is a non-exempt, hourly position eligible for overtime in accordance with California law. Employees are provided meal and rest breaks in compliance with applicable California regulations.
