Hours: Part Time Office hours 8:30am-1:30pm, Monday to Friday 

Salary: $23.50 to $27  per hour, DOE

Location: In Person @ 2929 19th Street, San Francisco

ORGANIZATION DESCRIPTION

Since 1971, Jamestown Community Center has been providing learning opportunities and safe spaces for low-income youth in San Francisco’s Mission District. Our youth represent the low-income, racially and ethnically diverse community in which they live and attend school. Our strategy is to serve a core group of neighborhood youth with multiple, high-impact programs as they grow through a full range of programs designed to help them transition from children into confident young adults. 

Programs include arts instruction, academic tutoring, sports, leadership development, employment, counseling, and parent programs. Throughout these programs, Jamestown aims to provide all participants with the highest-quality youth development experience. POSITION DESCRIPTION 

The Office Assistant is responsible for staffing the front desk and providing a welcoming, smooth-functioning office environment at the Jamestown office. The Office Assistant provides overall office facility oversight, takes initiative to solve problems, and manages general communication with vendors and the community. This position reports to the Deputy Director.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The Office Assistant provides administrative and clerical support to the Jamestown Community Center through the following key areas:

Receptionist Duties

  • Welcome visitors in a professional and courteous manner, provide accurate program information, and announce visitors to appropriate staff
  • Maintain overall office environment that is clean, organized, safe, and presentable
  • Coordinate with vendors for maintenance and service as needed
  • Answer phones and emails, provide requested information, direct calls/emails, and take messages as needed
  • Update and post all required information in a timely manner
  • Manage calendar and scheduling of meeting spaces
  • Set up and clean office spaces for meetings as needed

General Office Support

  • Handle day-to-day office administration, including filing, maintaining records, data entry, photocopying, and scanning documents
  • Distribute incoming mail, packages, and email; process and handle all outgoing mail and transport mail to the post office as necessary
  • Order, maintain, and organize inventory of office supplies
  • Ensure proper functioning and record-keeping of office equipment, including checking equipment in/out to staff
  • Assist office and program staff with special projects as needed
  • Accept payments and follow established procedures and protocols
  • Lead logistics for annual registration fairs and intake processes
  • Coordinate internal and/or external events as required
  • Open and close down office following safety procedures

Compliance

  • Comply with Jamestown's policies and procedures, and laws pertaining to the operation of Jamestown
  • Monitor office security protocols
  • Maintain strict confidentiality and demonstrate professional attitude and work ethic
  • Perform other duties as assigned

QUALIFICATIONS

  • High school diploma or equivalent
  • Minimum 1-2 years of administrative/clerical experience
  • Proficiency in Microsoft Office (Word, Excel)
  • Strong verbal and written communication skills
  • Professional phone etiquette and customer service skills
  • Diplomatic and tactful; able to work with a wide variety of people and teams 
  • Basic math skills for handling payments and maintaining records
  • Ability to maintain confidentiality and handle sensitive information
  • Strong organizational skills and attention to detail
  • Ability to speak and write in Spanish preferred 
  • Ability to multitask and prioritize in a fast-paced environment
  • Professional demeanor when interacting with visitors, vendors, and community members
  • Basic problem-solving skills and ability to work independently
  • Physical ability to lift/move office supplies and set up meeting spaces
  • A passion for Jamestown’s mission and a commitment to providing young people with the highest-quality youth development experience. 

PHYSICAL REQUIREMENTS

  • This is a 100% in person role
  • Must be able to lift and carry 25 pounds. 
  • Working conditions include standard office, stand, sit, with occasional travel within the Bay Area. 
  • Use a computer, phone, copier and office equipment. 
  • Fingerprint and TB clearance required. 

This is an hourly, non-exempt position with benefits.
