About The Company:

Our client is a large, established technology organization with a sophisticated corporate environment and a strong administrative support team. This is a highly visible opportunity within a collaborative executive organization, offering exposure to senior leadership and the opportunity to contribute to significant company initiatives.

Job Description:

We are seeking an experienced Executive Administrative Assistant to provide high-level support to a C-suite executive. This individual will serve as a trusted partner who can anticipate needs, manage complex priorities, and operate with a high degree of discretion and professionalism.

The ideal candidate will bring strong executive presence, business acumen, emotional intelligence, and a proactive mindset. This is not a purely task-oriented administrative role—the successful candidate will understand the executive's priorities, think strategically, and confidently interact with senior leaders and stakeholders.

Key Responsibilities:

  • Manage a complex executive calendar, including meetings, leadership engagements, travel, and shifting priorities.
  • Coordinate domestic and international travel and oversee related logistics from start to finish.
  • Prepare agendas, presentations, meeting materials, and executive briefings.
  • Track action items, follow-ups, and important deliverables to ensure timely completion.
  • Serve as a key point of contact for internal and external stakeholders while maintaining confidentiality.
  • Support executive-level projects, organizational initiatives, leadership programs, and company events.
  • Conduct research and compile information to assist with executive decision-making.
  • Handle expense reporting, purchase orders, vendors, and other administrative processes.
  • Coordinate meetings, offsites, leadership events, and other high-priority engagements.
  • Identify opportunities to improve processes, systems, and overall executive efficiency.
  • Partner with other Executive Assistants and administrative professionals to maintain a collaborative, high-performing support function.
  • Utilize technology and AI tools when appropriate to improve productivity and streamline administrative workflows.

Qualifications:

  • 8–10+ years of Executive Assistant experience.
  • Significant experience supporting C-suite, executive leadership, or comparable senior-level executives.
  • Experience working within a large, complex corporate organization.
  • Strong executive presence with excellent written and verbal communication skills.
  • High level of discretion and sound judgment when handling confidential matters.
  • Strategic and proactive approach to executive support.
  • Strong business acumen and ability to understand organizational priorities.
  • Comfortable confidently communicating with senior executives and stakeholders.
  • Demonstrated stability and consistency throughout employment history.
  • Highly organized with the ability to manage multiple competing priorities.
  • Comfortable working in a fast-paced, high-visibility environment.
  • Must be comfortable working fully onsite five days per week.
  • Must be local to the Bay Area and able to commute to Milpitas.

Additional Details:

  • Initial contract expected to run through December 2026.
  • Potential opportunity for extension and/or conversion to a permanent position.
  • Standard workweek is 40 hours, with potential for approximately 40–52 hours depending on business needs.
  • Occasional early morning or evening support may be required.
  • This position is non-exempt.
  • Candidates with primarily remote work histories may not be the best fit.
  • Candidates should have a demonstrated history of professional tenure rather than frequent short-term moves.

Perks:

  • High-visibility opportunity supporting a C-suite executive.
  • Strategic partnership role with exposure to senior leadership.
  • Opportunity to participate in major organizational initiatives and executive-level projects.
  • Potential exposure to board-level activity.
  • Collaborative administrative team within a large corporate environment.
  • Opportunity to leverage AI and emerging productivity tools.
  • Potential for contract extension and/or permanent conversion.
