About the Role

ECBM is seeking an Office Services Associate to Support daily office operations by providing receptionist coverage, maintaining electronic document management, maintaining office inventory and assisting with general office services tasks to ensure efficiency and productivity of the office.

Major Responsibilities

  1. Reception & Office Services Support
    • Provide backup receptionist coverage for lunches, breaks, vacations, and WFH schedules.
    • Assist with MVR ordering, FedEx/UPS labels, and support the other Office Services Associate during absences.
  2. Electronic Document Management
    • Process incoming insurance documents from a shared mailbox and accurately upload them into an electronic document management system to ensure timely and organized recordkeeping
  3. Inventory & Supply Management
    • Order, receive, and stock office and kitchen supplies.
    • Maintain supply levels in all conference rooms and manage Instacart orders.
  4. Physical Records Processing
    • Coordinate offsite file storage for archived documents.
    • Box and send files, retrieve or destroy boxes as needed, and maintain related logs and access credentials.
    • Process all incoming, outgoing, interoffice, overnight, and faxed mail.
    • Handle pickups, deliveries, sorting, opening, datestamping, and postage metering.
    • Assist with scanning, copying, binding, and printing projects
  5. Relationship Management
    • Maintain positive working relationships with employees and vendors.
  6. Additional Projects
    • Complete other tasks and projects assigned by management.
