Position Overview

BEST Health, Wellness & Performance is seeking a reliable, organized, and patient-focused Billing & Administrative Specialist to join our team. This position plays an important role in supporting our patients, therapists, and administrative team by helping ensure questions are answered promptly, communication flows smoothly, and day-to-day administrative needs are handled efficiently.

The ideal candidate is professional, personable, detail-oriented, and comfortable communicating with patients and healthcare providers. This role requires someone who can balance multiple priorities, maintain a high level of organization, and provide excellent customer service in a healthcare setting.


This is a part-time position working 20 hours per week. Pay depending on experience. 


Key Responsibilities

  • Respond to patient questions and inquiries related to billing, balances, statements, payments, and insurance.
  • Serve as a liaison between patients, therapists, and the administrative team to help facilitate clear and timely communication.
  • Respond to patient and office voicemails and follow up as needed.
  • Assist with answering incoming phone calls and directing calls to the appropriate team member.
  • Communicate professionally and compassionately with patients regarding account and billing questions.
  • Assist with identifying and resolving patient account or billing concerns.
  • Support therapists with administrative and patient-related needs as appropriate.
  • Assist with insurance, authorization, and billing-related administrative tasks as needed.
  • Maintain accurate and organized patient and administrative information.
  • Assist with scheduling, patient communication, documentation, and other front-office administrative responsibilities as needed.
  • Follow established company policies and procedures, including maintaining patient confidentiality and protecting sensitive information.
  • Work collaboratively with clinical and administrative team members to support an efficient patient experience.
  • Perform additional administrative duties and special projects as assigned.


Qualifications

  • Previous experience in healthcare administration, medical billing, patient accounts, customer service, or a related field preferred.
  • Strong communication and interpersonal skills.
  • Professional and friendly demeanor with a strong commitment to patient service.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks and prioritize responsibilities in a fast-paced environment.
  • Comfortable communicating with patients, therapists, insurance representatives, and other team members.
  • Ability to handle sensitive and confidential information appropriately.
  • Strong computer skills and ability to learn new software and systems quickly.
  • Ability to work independently while also functioning effectively as part of a team.
  • Prior experience with healthcare billing, insurance, or electronic medical record systems is a plus.
