MSHS Pacific Power Group is a leading provider of marine and power generation solutions throughout North America. We're looking for a highly organized, customer-focused Parts Administrative Assistant to support our busy Inside Sales Parts Department.

What You'll Do

As a Parts Administrative Assistant, you'll provide administrative and customer support that helps keep our parts department operating efficiently while ensuring exceptional service to both internal and external customers.


Your responsibilities will include:

  • Support Inside Sales Specialists by preparing quotes, processing orders, updating customer information, and providing administrative assistance.
  • Perform estimate follow-up with customers to answer questions and encourage order completion.
  • Process customer credit card payments accurately and securely.
    Enter shipment tracking information into customer orders and provide delivery updates as needed.
  • Answer incoming phone calls and assist customers with parts inquiries.
    Coordinate with vendors, warehouse personnel, and shipping department regarding orders and deliveries.
  • Prepare and organize department paperwork, reports, and filing.
  • Assist with warranty claims, returns, and order discrepancies.
  • Communicate professionally with customers to ensure a high level of service and timely follow-up.
  • Perform other administrative duties as assigned to support the Parts Department.


What We're Looking For

Required Qualifications

  • High school diploma or GED.
  • At least 1 year of experience in an administrative support role, preferably in a parts, warehouse, distribution, or service environment.
  • Strong customer service and communication skills.
  • Experience using Microsoft Office, including Outlook, Word, and Excel.
  • Excellent organizational and time management skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong attention to detail and commitment to accuracy.
  • Ability to work both independently and collaboratively within a team.

Preferred Qualifications

  • Experience in a Parts Department, industrial equipment, marine, automotive, heavy equipment, or related industry.
  • Experience with inventory management or ERP systems.
  • Familiarity with purchasing, order processing, or warehouse operations.
Compensation & Benefits

Pay Range: $22.00–$28.00 per hour, depending on experience.
