Job description

Raphael & Associates is seeking a proactive, detail-oriented Client Support Coordinator.ย  The Client Support Coordinator is responsible for managing all incoming and outgoing mail and packages, including certified, registered, and overnight deliveries. This role ensures timely, accurate distribution and shipment while maintaining proper tracking and documentation.
Key Responsibilities:
  • Receive, sort, and distribute all incoming mail and packages (USPS, FedEx, UPS, DHL, etc.)
  • Prepare and process outgoing mail, including standard, certified, registered, and overnight shipments
  • Maintain logs and tracking records for certified and accountable mail
  • Ensure proper labeling, postage, and documentation for all outgoing shipments
  • Coordinate courier pickups and deliveries as needed
  • Monitor and replenish mailroom supplies (envelopes, labels, postage, etc.)
  • Operate mailroom equipment such as postage meters, scanners, and folding machines
  • Handle sensitive or confidential materials with discretion
  • Resolve delivery issues, delays, or discrepancies with carriers
  • Maintain an organized and efficient mailroom environment
  • Provide support for bulk mailings or company-wide distribution projects
Preferred Qualifications:
  • High school diploma or equivalent required
  • Prior mailroom, shipping/receiving, or administrative experience preferred
  • Experience with postage meter systems and shipping software and familiarity with USPS, FedEx, UPS and other shipping couriers
  • Knowledge of certified/registered mail procedures and compliance requirements
  • Basic computer skills (email, tracking systems, data entry)
  • Strong attention to detail and organizational skills
  • Ability to lift and move packages (typically up to 50 lbs)
  • Good communication and time management skills
