Order Management Representative

Location: Cerritos, CA

Position Summary

The Order Management Representative plays a critical role in delivering an exceptional customer experience by ensuring accurate and timely execution of the order fulfillment process. This position serves as a key liaison between customers, suppliers, distributors, and internal teams to process orders, manage order status, resolve inquiries, and support sales operations. The ideal candidate is detail-oriented, customer-focused, and able to thrive in a fast-paced environment.

Essential Duties & Responsibilities

  • Process customer orders with suppliers and distributors accurately and efficiently.
  • Review orders for compliance with pricing, terms, conditions, and delivery requirements.
  • Manage backlog reports and open orders within GST systems and customer portals.
  • Monitor, track, and follow up on quote logs and open order activities.
  • Process Return Merchandise Authorizations (RMAs) and ensure timely resolution.
  • Respond to customer inquiries and provide proactive order status updates.
  • Identify customer needs and deliver high levels of customer satisfaction.
  • Manage day-to-day customer service requests and operational inquiries.
  • Assist the sales team with customer Requests for Quotes (RFQs), including response preparation and documentation.
  • Support order management processes to ensure operational efficiency and accuracy.
  • Collaborate with internal departments, suppliers, and customers to resolve order-related issues.
  • Perform additional customer service, administrative, or operational duties as assigned.

Qualifications

Education & Experience

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Minimum of two (2) years of experience in customer service, sales support, order management, business operations, or a related field.
  • Experience working with suppliers, distributors, procurement processes, or order fulfillment preferred.
  • Experience preparing price quotes and managing large volumes of data is a plus.

  • Strong attention to detail with excellent organizational and follow-up skills.
  • Ability to analyze information, think critically, and solve problems independently.
  • Excellent verbal and written communication skills.
  • Strong customer service orientation with a commitment to responsiveness and professionalism.
