Position Summary

The Business Operations Manager serves as the operational hub of the firm, ensuring the business runs smoothly so our architects and project teams can focus on delivering exceptional work for clients. Reporting to the Director of Operations, this role coordinates day-to-day business operations in a growing professional services firm, including office administration, business systems, facilities, vendor relationships, and support for outsourced service providers. This is an ideal opportunity for someone who enjoys improving processes, solving operational problems, and becoming a trusted resource for leadership and staff.

  • Help leadership improve the efficiency and effectiveness of the firm's operations.
Key ResponsibilitiesBusiness Operations
  • Coordinate the day-to-day administrative operations of the firm.
  • Provide supervision and direction to the administrative team, aligning resources and responsibilities to support firm operations, project delivery, and strategic goals.
  • Identify opportunities to improve workflows, increase efficiency, and reduce administrative burden.
  • Manage office procedures, facilities, vendors, subscriptions, business licenses, insurance, and corporate records.
  • Manage and develop the administrative team responsible for office technology, equipment, software licenses, and coordination with IT service providers.
  • Serve as the primary administrator for Deltek Vantagepoint, including project setup, user support, dashboards, reporting, and data integrity.
  • Coordinate client contract administration, consultant agreements, project startup activities, and administrative support for project managers.
Other Administrative Responsibilities
  • Support the firm's outsourced finance partners with transactional activities, including entering accounts payable transactions, preparing customer invoices, supporting payroll processing, and organizing supporting documentation.
  • Coordinate with outsourced HR on onboarding, benefits administration, employee records, and other routine administrative activities.
  • Coordinate information and documentation requests between internal staff and outsourced service providers.
Qualifications
  • Five or more years of experience in business operations, office management, practice management, or business administration.
  • Experience in architecture, engineering, construction, or another professional services environment preferred.
  • Experience coordinating outsourced service providers, including finance, HR, or IT.
  • Experience with Deltek Vantagepoint or a similar ERP system preferred.
  • Strong organizational, communication, and project management skills.
  • Comfort learning and administering business systems and technology.
  • High level of professionalism, initiative, discretion, and attention to detail.
