JOB DESCRIPTION: 

The Executive Assistant will provide high-level administrative support to the President and Executive team with professionalism and in a manner that reflects positively on the organization.


ESSENTIAL DUTIES AND RESPONSIBILITIES: 

Manage sensitive matters with confidentiality and discretion, especially decisions directly impacting the operations of the company.

Sustain a daily calendar of meetings and events; schedule and attend meetings on behalf of executives, taking notes and recording minutes.

Organize complex calendars and schedules, resolving any scheduling issues.

Plan and coordinate company events and culture/philanthropy activities.

Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization.

Arrange travel and accommodations for members of the Executive Team; prepare expense reports.

Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to appropriate staff.

Draft and prepare correspondence for internal announcements, leadership meetings, and organizations that executives are involved with.

Receive incoming communication or memos on behalf of the Executive Team, review contents, determine importance, and summarize and/or distribute contents to appropriate staff.

Conserve the time for members of the Executive Team by reading, researching, collecting, and analyzing information as needed in advance.

Perform office tasks including maintaining records, ordering supplies, sorting and distributing mail, etc.

Requirements

SKILLS AND QUALIFICATIONS: 

Associate degree in a business-related field of study or equivalent level of experience

3-5 years of experience in a professional office setting

Experience in a manufacturing setting preferred

High level of interpersonal skills to handle sensitive and confidential situations

High level of written and verbal communication skills

Advanced user of MS Office solutions

Experience in internet research

Good problem-solving skills

High attention to detail in composing, typing and proof-reading materials

Demonstrated ability to handle multiple tasks, establish priorities and meet deadlines

A professional demeanor with positive customer service to internal and external customers
