Job Description

Summary of Positionย 

Theย Operationsย Assistantย is responsible forย coordinating various activities related to document control, data management,ย KPIย reportingย and operational support.ย As an Operations Assistant,ย attention to detail and organizational skills will ensureย the accuracyย and up-to-date status of technical documents, drawings, and commercial correspondence.ย Theย Operations Assistantย willย be responsible forย inputting document data into standard registers, generating control reports, andย assistingย with site document typing and follow-up.ย Theirย role also includesย maintainingย controlled copies of approved documents and drawings, ensuring easy traceability and safe custody.ย ย 

Essential Duties and Responsibilitiesย 

  • Coordinate all activities related to the Document Control procedure, including technical documents, drawings, and commercialย correspondence.ย 
  • Input document data into the standard registers andย formatsย ensuring that the information isย accurateย and up toย date.ย 
  • Generate the various documents and control reports asย required.ย 
  • Typing of siteย documents andย follow upย ofย all the siteย needs.ย 
  • Ensure that controlled copies of latest approved documents and drawings are given to theย appropriate staff,ย subcontractors,ย and suppliers asย applicable.ย 
  • Maintain updated records of all approved documents and drawings and their distributionย clearly.ย 
  • Maintain the documents and drawings in the Document Control folder under safe custody without any damage or deterioration with easyย traceability.ย 
  • Maintain the files and control logs as required by theย project.ย 
  • Collect andย maintainย historical records of all quality-related in-process check sheets, process-related work sheets, and production-related work sheets in a system that allows for easy documentย retrieval.ย 
  • Helpย maintainย and manage maintenanceย database.ย 
  • Maintain Health & Safety committee meeting minutes and open items list,ย updatingย asย required.ย 
  • Maintain operations trainingย matrix.ย 
  • Generate daily and weekly attendance reports, recording responses from supervisors to justify absenteeism orย lateness.ย 
  • Generate Ops review open-issues list and follow up on open items withย appropriateย owners.ย 
  • Maintains and updates operations rosters (employee list)ย 
  • Monitors employee performance review dates and completions and follows up with Supervisor asย needed.ย 
  • Works with Production and Management team to coordinate activities between multiple Washington facilitiesย 
  • Washington Document control ISO administratorย assistingย with Audit reviewsย 
  • Facilitates Production teamย purchasingย activities & blanket orders,ย monitoringย facilities budgets approving invoices, admin for Fastenal machine access.ย 
  • Creating,ย maintaining, and distributing schedules for production: Pittman/3-shift for Washington Facilities.ย 
  • Working with Management teams for Washington facilities on weekly management reporting of KPI's.ย 
  • Ad hoc reporting & visualization of data for KPI and management reports.ย ย 
  • Performs any other tasksย deemedย necessary by management.ย 
Qualifications

Physical Requirementsย 

  • Must be able to lift and move materials up to 25 pounds independently andย participateย in team lifts of approximately 60 pounds asย requiredย for essential production tasks.ย 
  • Must be able to remain in a stationary position or move throughout the production floor for extended periods (for the duration of the shift up to 8+ hours per shift).ย 
  • Must be able toย operate, position, adjust, or move equipment, tools, or materials necessary for production processes.ย 
  • Capable of performing consistent, manual production tasks over long shifts.ย 
  • Must be able to work in typical manufacturing environmental conditions, including areas requiring PPE, exposure to noise, and temperature variation.ย
