About the Role

We are seeking an experienced Administrative Operations Manager to lead and optimize administrative operations within our manufacturing facility. This role is critical to ensuring efficient office processes, strong document control, and seamless support for plant leadership and cross-functional teams.

You will oversee administrative staff, manage facility services, support compliance and audits, and serve as a central hub for communication, logistics, and site coordination. This position plays a key role in maintaining operational discipline, cost efficiency, and a well-organized, high-performing workplace.

What Youll Do

Administrative Operations

  • Lead and manage all administrative functions within the facility
  • Supervise administrative staff (assistants, document control, reception, facilities coordination)
  • Establish and improve administrative processes and workflows
  • Provide timely support to plant leadership and cross-functional teams
  • Develop and enforce administrative policies and procedures

Document Control & Compliance

  • Oversee document control for SOPs, work instructions, and controlled documentation
  • Ensure proper version control, approvals, and distribution
  • Maintain audit-ready documentation aligned with quality standards (ISO, internal, and customer audits)
  • Support internal and external audit activities

Facility & Office Services

  • Manage facility services including maintenance, cleaning, utilities, and supplies
  • Oversee vendor relationships and service contracts (janitorial, security, office equipment, etc.)
  • Coordinate workspace planning and office layout
  • Ensure compliance with workplace standards in partnership with EHS

Cross-Functional Coordination

  • Act as administrative liaison across departments
  • Support onboarding logistics (workspace setup, system access, documentation)
  • Coordinate internal communications, meetings, and executive support
  • Assist with implementation of company initiatives at the site level
  • Arrange travel for employees, candidates, and visitors

Data & Reporting

  • Prepare reports, presentations, and operational summaries
  • Maintain training, compliance, and facility records

Budget & Cost Management

  • Manage administrative budgets (supplies, services, contracts)
  • Identify cost-saving opportunities without impacting operations
  • Monitor vendor performance and contract compliance

What Were Looking For

  • Bachelors degree in Business Administration, Operations, or related field (or equivalent experience)
  • 510+ years of administrative or office management experience in a manufacturing environment (required)
  • Proven experience managing teams and working cross-functionally
  • Familiarity with ERP systems (e.g., SAP) and document control systems
  • Strong organizational, process management, and problem-solving skills
  • Excellent leadership and communication abilities
