Job description

QUALIFICATIONS:

1.  High school diploma or GED.

2.  Proficient keyboarding, word processing, and file maintenance skills.

3.  Three (3) years of secretarial experience/office management experience preferred.

4.  Strong Microsoft Office skills.

5.  Excellent verbal communication skills.

6.  Effective organization and interpersonal skills.

7.  Ability to work independently and/or in a team-oriented environment.

8.  Ability to follow verbal and written instructions.

9.  Ability to perform a variety of tasks often changing assignments on short notice with some direction.

10.Ability to work on multiple tasks simultaneously.

11.Bilingual (English/Spanish) preferred.

TERMS OF EMPLOYMENT:

244 days

SALARY/PAYGRADE:

$32,367 – CP4

Salary Range (based on experience) as set by the Board of Trustees for the school year.

 

ESSENTIAL FUNCTIONS:

1. Responsible for tracking, maintaining, and scheduling the district campuses Roll Offs orders.

2. Answer and respond to incoming calls, take reliable messages and route to appropriate staff.

3. Process custodian call-outs by completing the Call-Out Log. 

4. Respond to incoming campuses inquiries regarding trash removal services.

5. Serve as backup supporting the front desk receptionist with duties such as greet, assist and/or direct visitors, customers and vendors in a courteous & professional manner, answer phone lines.

6. Print, sort, and distribute work orders, ensuring accurate tracking & timely completion. 

7. Scan AFD’s, Hazmat training records, employee evaluations, and area inspection reports for accurate documentation and record-keeping.

8. Maintain calendar for district chair request services.

9. Oversee and communicate all aspects of the Operations District Vehicle Accident Reporting process.

10. Manage all incoming and outgoing mail. Ensure accurate & timely distribution of mail to the appropriate recipients.

11. Monitor work orders assigned to Area Managers. Follow up via email as needed to confirm completion and close completed work orders in the system.

12. Perform other duties as assigned.

13. Regular and reliable attendance is an essential function of the job.
