Sr Operations & Administrative Assistant

We are searching for the best talent for a Sr Operations & Administrative Assistant. This hybrid role can be in Raritan, NJ, New Brunswick, NJ or Springhouse, PA.

The Senior Operations and Administrative Assistant will serve as a key operational partner to the VP, combining exceptional organization, sound judgment, project coordination, writing and administrative expertise to keep priorities moving forward. This individual will anticipate needs, manage complex logistics, bring structure to competing priorities and help create the conditions for a high-performing global oncology communications and public affairs team to do its best work. The ideal candidate is confident working with senior leaders, comfortable navigating a complex matrix organization and solutions-oriented in a dynamic environment.

RESPONSIBILITIES/PRINCIPAL DUTIES

This role will help drive operational excellence through the following responsibilities:

  • Serve as a trusted operational partner to the Vice President, Global Oncology Communications & Public Affairs, translating priorities into clear plans, actions and follow-through.
  • Prepare for internal team meetings by developing agendas, capturing decisions, tracking action items and ensuring timely follow-up.
  • Maintain visibility across key activities, deadlines, dependencies, milestones, compliance considerations, risks and issues; flag concerns and help keep work on track.
  • Strategically manage a complex executive calendar, coordinate high-priority meetings, anticipate scheduling conflicts and arrange domestic and international travel, itineraries and T&E reports.
  • Track budgets in partnership with the GCA finance team, including expenses, purchase orders and vendor contracts.
  • Own ad hoc requests with urgency, discretion and sound judgment, identifying the best path forward when direction is limited.
  • Plan and execute team meetings, in-person and virtual events, off-sites and other engagements that strengthen connection and collaboration.
  • Provide proofreading and editing support to ensure communications are polished, clear and accurate.

The successful candidate will be a proactive problem-solver and trusted partner who:

  • Is highly detail-oriented, with strong judgment, prioritization and anticipation when managing complex executive calendars and competing priorities.
  • Possesses strong computer skills and experience with MS Office, Concur, Ariba, aCREW, eMarketplace, Zoom, Teams and related tools; proficiency with productivity tools and portal technology, including SharePoint, is required.
  • Demonstrates excellent problem-solving skills, independently completes projects, anticipates executive and team needs and removes obstacles before they slow progress.
  • Exercises sound judgment and discretion, assess complex situations independently and adapt quickly as priorities shift.
  • Possesses excellent oral and written communication skills, with the ability to draft, edit and refine materials with clarity and professionalism.
  • Manage confidential information with professionalism, diplomacy and discretion.
  • Coordinates multiple projects with overlapping deadlines, bringing structure, follow-through and accountability across teams and time zones.
  • Demonstrates flexibility, composure and urgency in a fast-paced environment.
  • Models a positive, can-do attitude and Credo Values while serving as a collaborative, trusted presence for the VP and broader team.
  • May be required to coordinate and attend events outside normal business hours.

Qualifications:

  • A high school diploma is required; a bachelor's degree in business administration, communications or a related field is preferred but not required.
  • 5+ years of administrative, project management or project coordination experience.
  • 3+ years of experience supporting leaders or teams in a complex environment.

The anticipated base pay range for this position is :

$52,500.00 - $84,525.00

Additional Description for Pay Transparency:

Subject to the terms of their respective plans, employees are eligible to participate in the Company's consolidated retirement plan (pension) and savings plan (401(k)). Subject to the terms of their respective policies and date of hire, employees are eligible for the following time off benefits: Vacation –120 hours per calendar year Sick time - 40 hours per calendar year; for employees who reside in the State of Colorado –48 hours per calendar year; for employees who reside in the State of Washington –56 hours per calendar year Holiday pay, including Floating Holidays –13 days per calendar year Work, Personal and Family Time - up to 40 hours per calendar year Parental Leave – 480 hours within one year of the birth/adoption/foster care of a child Bereavement Leave – 240 hours for an immediate family member: 40 hours for an extended family member per calendar year Caregiver Leave – 80 hours in a 52-week rolling period 10 days Volunteer Leave – 32 hours per calendar year Military Spouse Time-Off – 80 hours per calendar year
