We are seeking a professional, organized, and detail-oriented Administrative Assistant to support our office operations and project teams. This position plays a critical role in keeping our day-to-day business activities running efficiently and ensuring project documentation and communications are handled accurately and professionally.

Position Summary

The Administrative Assistant provides administrative and clerical support to office staff, project managers, and company leadership. This role is ideal for someone who enjoys staying organized, managing multiple priorities, and contributing to a collaborative team environment.

The successful candidate will be dependable, proactive, and capable of handling a variety of responsibilities in a fast-paced construction setting.

Key Responsibilities

  • Answer incoming phone calls and greet visitors in a professional and welcoming manner
  • Manage incoming and outgoing mail, email correspondence, and office communications
  • Maintain organized office files, project records, and digital documentation
  • Assist with communication and coordination between subcontractors, vendors, suppliers, and project teams
  • Support Project Managers with project documentation, including contracts, RFIs, submittals, change orders, and closeout documents
  • Prepare, track, and organize invoices, purchase orders, and other administrative and accounting-related paperwork
  • Schedule meetings, appointments, and project-related deliveries
  • Order and maintain office supplies and support general office operations
  • Assist with data entry, reporting, and document management
  • Perform additional administrative duties as needed to support business operations

Qualifications

Required

  • High school diploma or equivalent
  • Previous administrative, office support, or clerical experience
  • Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook
  • Strong written and verbal communication skills
