Summary

This position provides administrative, operational, and coordination support to Human Resources leaders, teams, programs, and initiatives. The Administrative Assistant II performs a variety of administrative activities that support the effective and efficient operation of assigned Human Resources functions. Responsibilities may include coordinating meetings, events, training programs and other HR activities; maintaining records and documentation; processing invoices and routine transactions; coordinating schedules and logistics; responding to routine inquiries; supporting HR systems and data entry; and assisting with employee-related administrative processes. The position works collaboratively with HR team members, employees, leaders, vendors, and other internal and external partners and may support one or more Human Resources functional areas based on business needs.ย 

This position will be 5 days in-office based in our Woodall Rodgers location.ย 

Key Roles & Responsibilitiesย ย  Directly or through others, the incumbent:

  • Provides general administrative and coordination support to assigned Human Resources leaders, teams, programs, and initiatives.
  • Coordinates calendars, meetings, appointments, interviews, training sessions, events, and other HR activities as assigned.
  • Coordinates event logistics, including room reservations and setup, catering, materials, supplies, participant communications, travel arrangements, accommodations, and other logistical needs.
  • Maintains departmental records and documentation in accordance with Company policies, procedures, retention requirements, and applicable confidentiality standards.
  • Supports routine purchasing and financial administration activities, including purchase orders, invoices, procurement card reconciliation, contracts, supplies, merchandise, and expense tracking.
  • Coordinates travel arrangements, accommodations, itineraries, and related administrative activities for assigned team members.
  • Monitors assigned email inboxes and other communication channels; responds to routine inquiries and routes requests to the appropriate HR team member as needed.
  • Respond to routine inquiries, routes requests appropriately, and works collaboratively with employees, leaders, vendors, and other internal and external partners.
  • Handles sensitive employee and Company information with discretion and confidentiality and provides backup or special-project support across Human Resources as business needs require.
  • Depending upon direct assignments, the HR Admin Assistant II may:
    • Support employee-related HR processes, which may include workers' compensation, leave or disability documentation, unemployment correspondence, terminated employee files, and scheduling related to employee investigations.
    • Support Talent Management, learning, orientation, and employee development activities, including participant coordination, training records, learning systems, inbox management, and data entry.

Education, Experience, & Skill Requirements

  • High school diploma or equivalent required.
  • Associate degree or additional education preferred.
  • Two or more years of administrative, coordination, Human Resources support, event coordination, or related experience preferred.
  • Strong organizational and time-management skills with the ability to prioritize and manage multiple assignments simultaneously.
  • Strong attention to detail and commitment to accuracy and timely completion of work.
  • Excellent verbal and written communication skills.
  • Strong working knowledge of Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Ability to learn and effectively use HR, learning, financial, procurement, records-management, and other Company systems as required.
  • Ability to work independently while effectively collaborating within a team environment.
  • Ability to interact professionally with employees and leaders at all levels of the organization.
  • Ability to exercise sound judgment and maintain confidentiality when handling sensitive employee and Company information.
  • Strong customer-service, problem-solving, and interpersonal skills.
  • Ability to adapt to changing priorities and provide support across multiple HR functions.
