Job description

Payroll & Bookkeeping Specialist

We are seeking a detail-oriented Payroll and Bookkeeping Specialist to support payroll processing, client recordkeeping, reporting, and day-to-day financial administration. This role is well suited for someone who is comfortable working with multiple clients, managing deadlines, and handling confidential financial information with accuracy and professionalism.

Key Responsibilities

  • Collect and review payroll information from clients, including employee hours, pay rates, deductions, benefits, new hire details, and related updates.
  • Process payroll accurately using electronic payroll systems, ensuring proper calculation of regular wages, overtime, bonuses, deductions, and other payroll adjustments.
  • Prepare and submit payroll payments through appropriate electronic platforms.
  • Assist with payroll tax processing and employee benefit-related payments.
  • Maintain accurate payroll and bookkeeping records for each client.
  • Respond to payroll-related questions from clients and help resolve issues in a timely and professional manner.
  • Prepare weekly client reports and distribute them as needed.
  • Communicate regularly with clients to obtain required information, clarify discrepancies, and support smooth payroll processing.
  • Stay informed on current payroll rules, tax requirements, and compliance standards at the federal and state level.
  • Work closely with internal team members on client projects, reporting needs, and firm-wide initiatives.

Qualifications

  • High school diploma or equivalent required; associate degree in Accounting, Finance, or a related field preferred.
  • 3–5 years of experience in bookkeeping and payroll processing, ideally within a CPA firm, accounting firm, or multi-client service environment.
  • Proficiency with Microsoft Office, especially Excel and Outlook.
  • Experience with accounting software, including QuickBooks Desktop and QuickBooks Online.
  • Familiarity with payroll platforms such as ADP, Gusto, Paychex, or similar systems is strongly preferred.
  • Working knowledge of GAAP and general accounting principles.
  • Strong understanding of federal and state payroll tax regulations.
  • Excellent attention to detail and commitment to accuracy.
  • Strong organizational skills with the ability to manage multiple clients, priorities, and deadlines.
  • Clear written and verbal communication skills.
  • Ability to work both independently and collaboratively.
