Job description

Overview

Handles daily gift processing, depositing, reconciliation, receipt and acknowledgement of donations, donor relations and administrative and database tasks to ensure the integrity of the database and gift processing records; ensures accurate filing practices are followed; provides customer service and participates in processing of online initiatives or special projects, such as archiving and data maintenace, and all other duties as assigned by Development Systems Manager.

Responsibilities
  • Receives Yale New Haven Hospital Development contributions; sorts, distributes and classifies for entry into database, including sorting and prioritizing incoming mail.
  • Processes new/updated constituent entries, gift entries, individually or in batches, in an accurate and timely manner received inhouse or via online systems or banking systems such as Lockbox and check scanner. Merges and acknowledges all gift entries according to policy and time standards.
  • Performs processing for Development online initiatives, (Lock Box, Luminate, Donor Drive, or any future software and/or program changes) gift processing, address changes, record updates, duplicate record review and reporting related to events and online fundraising efforts.
  • In conjunction with other members of the Development Systems' Team, take equal responsibility for ensuring all completed deposit batches are delivered to Cashier's Dept. for processing and in accordance with time schedule for week and month closings. Development Systems Associate is also responsible for all return mail duties not handled by Communications' staff.
  • Oversees filing systems, paper and electronic, to ensure all documentation is accounted for and filed according to standards, ensuring previous fiscal year is readily accessible in designated filing cabinets. Per auditing standards and requirements, seven years of documentation need to be kept in archives. Performs quarterly and annual archival process.
  • Provide customer service to donors, Development Office staff and other YNHH departments. Provide light admin duties, backup phone coverage and admin support coverage, as needed or assigned, by Development Systems Manager.
  • Performs all other duties as assigned.

Qualifications

EDUCATION

  • Associate's degree or equivalent computer training and work related experience required.

EXPERIENCE

  • 1 - 2 years of experience in a development/foundation/philanthropy setting and experience with fundraising, databases and online donation systems, preferably Blackbaud (Raiser's Edge), Donor Drive and Lockbox Systems. An understanding of the fundamentals of cash banking, deposits and reconciliation required.

SPECIAL SKILLS

  • Must have working knowledge of Microsoft software packages and email systems, experience with fundraising databases and online donations required. Knowledge of philanthropy and development environments. Excellent verbal, written communication and math skills required. Strong attention to detail. Must have ability to work well in a team and independently with capabilities of thinking through various gift processing scenarios, including research and data collection, with minimal direct supervision. Must have ability to maintain and respect strict adherence to confidentiality policies. Possess strong attention to detail and data entry accuracy is a must.

PHYSICAL DEMAND

  • Attendance during peak volume times will be strictly adhered to and request for time off may be restricted depending on staffing needs, per Manager's discretion. May be required to work occasional evenings and weekends.
