Job description

Overview

Responsible for donor customer service, all gift receipt and acknowledgment, report and query generation, event processing management, general mailing lists, payroll donations, online fund-raising processing/reporting and tribute processing, as assigned. Under the direction of Manager, provides training, as needed, and acts as a point of reference for the daily activies of the Development Systems Associates.

Responsibilities
  • Personally, and as a point of reference to support staff, processes all Hospital gifts and pledges, including their collection, receipt, recording, acknowledgement and filing. Includes, but not limited to, an emphasis on major gifts, complex gifts (planned giving and stocks), grants processing, online giving, and payroll gifts. Also responsible for overseeing the matching gift program.
  • Assist Tech Coordinator as backup in the documentation, tracking and reporting of all Hospital gifts and pledges, including direct mail, memorial gifts, special and major individual, corporate and foundation gifts, capital campaign gifts and payroll deductions.
  • Is backup to Tech Coordinator in report and query generation, and setup for Development Office mailings for events, donor correspondence, holiday documents, event reporting, annual statements and financial reporting--weekly and month end.
  • Directly assists in the entry and upkeep of all Funds, Appeals, Campaigns and Events in the database, including, but not limited to, newly created documentation, monthly and annual quality control updates/edits.
  • Provides assistance in the maintenance and drafting, (as requested) training manuals for gift entry processes, database integrity cleanup and gift acceptance policies. Handles database integrity cleanup tasks.
  • Follows established procedures and policies as set by Manager in conjunction with Tech Coordinator, and/or other procedural issues as they arise. May be assigned special projects, at Manager's discretion.
  • Processing using other online systems, including Luminate, Donor Drive and/or other expanded online systems.
  • Answers phone calls and provides customer service to donors, grateful patients/families, fundraising staff and YNHH departments.
  • Performs all other duties as assigned.
  • With general oversight by Tech Coordinator, the DS Coordinator will be the Development Systems' lead for all YNHH Development managed events, which includes, but not limited to initial contact with Special Events' team, and managing all aspects of event/appeal, from data collection, pulling mailing lists, inputting or updating acknowledgment letters, gift entry to final event closing report.
  • Responsible for the monthly creation, tracking and filing of senior leadership stewardship letters; assists with the Raiser's Edge mail merge acknowledgment letter process.

EDUCATION

  • Bachelor's Degree and equivalent related technical training or equivalent technical training and work related experience relating to philanthrophy.

EXPERIENCE

  • Three (3) to five (5) years experience in fundraising databases, preferably Raiser's Edge or comparable database software and Omatic Software. Knowledge of Development Systems procedures and terminology required. Knowledge of financial reporting related to fundraising.

SPECIAL SKILLS

  • Must have highly competent working knowledge of Microsoft Office software packages
  • Required computer skills to handle database administration, report generation, query and export builds and spreadsheet/data formatting
  • Working knowledge of Raiser's Edge or comparable database software. Omatic Software, Luminate, Donor Drive, Cash Pro-Lock Box and/or Remote Deposit experience a plus
  • Excellent verbal and written communication skills; strong statistical skills.
  • Must have ability to work well in a team and independently without direct supervision.
  • Must have ability to communicate information clearly and work cooperatively with others.
  • Must have the ability to maintain and respect strict adherence to individual confidentiality, HIPAA and related organizational and professional guidlines.
  • Basis of accounting/depositing process required, excellent verbal and written communications skills required.
  • Understanding of the different units of Development Office and how the various positions and responsiblities among the areas, such as annual giving, planned giving, major gift stewardship and grant proposals, function.
  • Strong analytical skill recommended.

  • Attendance during peak volume times will be strictly adhered to and requests for time off may be restricted depending on staffing needs, per Manager's discretion. May be required to work occasional evenings and weekends.
