Position: Onboarding Project Manager - Marketing
Department: Client Delivery
Reports to: Operations Director
Role
The Onboarding Project Manager - Marketing is responsible for overseeing the onboarding, coordination, and launch of client marketing funnels and paid advertising campaigns for our Scale clients.
This role ensures that each client strategy moves efficiently from planning to execution by coordinating all required assets, managing team collaboration, and maintaining clear communication with clients throughout the onboarding and launch process.
The Onboarding Project Manager acts as the central project manager for client marketing builds - ensuring all components of the funnel and advertising strategy are completed on time, approved by the client, and launched with excellence.
Responsibilities
Client Onboarding & Project Management
Manage and oversee the onboarding process for new clients to ensure a seamless and professional experience
Take the approved client strategy and convert it into clear project plans and tasks for execution using Asana
Create and manage all onboarding and build tasks in Asana so the team has clear direction and deadlines
Coordinate all moving parts required to build and launch a client's funnel and ads
Maintain organization across multiple clients and projects simultaneously while ensuring deadlines are met
Identify opportunities to streamline and improve onboarding and launch processes
Funnel & Asset Coordination
Task out all required funnel components to the appropriate team members including:
◆ Funnel copy
◆ Funnel design
◆ Funnel tech build
◆ Email automation
◆ Ad copy and ad creative
Ensure all funnel elements align with the client's strategy and offer positioning
Bring together all completed assets and confirm readiness for launch
Review deliverables before client submission to ensure quality and clarity
Team Collaboration
Coordinate and manage the execution of projects across the following team members:
◆ Copywriter
◆ Graphic Designer
◆ Funnel Tech / Builder
◆ Ads Manager
  • Ensure each team member has clear expectations, timelines, and deliverables
  • Proactively follow up on deadlines and keep projects moving forward
  • Communicate updates and blockers quickly so solutions can be implemented
Client Communication
  • Serve as the primary point of contact during the onboarding and build phase
  • Manage client communication related to project progress, deliverables, and approvals
  • Present completed assets to clients for review and approval
  • Gather feedback and coordinate revisions with the team when necessary
  • Ensure the client experience is organized, efficient, and positive
Launch Coordination
  • Confirm all funnel and advertising assets are completed, approved, and ready for launch
  • Coordinate with the ads manager to ensure campaigns are launched successfully
  • Ensure all funnel tracking, links, and automations are functioning correctly prior to launch
  • Move clients from onboarding to active campaign management as efficiently as possible without sacrificing strategy depth or quality

Results
  • Client funnels and advertising campaigns are launched quickly and efficiently after onboarding
  • All required assets are coordinated and completed on time by the team
  • Clients experience a seamless, professional onboarding and launch process

Requirements
  • 2+ years of experience in digital marketing, project management, or marketing coordination
  • Solid understanding of marketing funnels, online offers, and paid advertising systems

  • Ability to see how all pieces of a funnel fit together from strategy to execution
  • Strong project management and organizational skills
  • Experience managing multiple projects or clients simultaneously
