Job Title: Front Office Supervisor - Ambulatory Surgery Center (ASC)

Location: La Mesa ENCOMPASS PROCEDURE CENTER

Job Type: Full-Time

Position Overview:

We are seeking a highly organized and customer-focused Front Office Supervisor to oversee the daily operations of the front office at our Ambulatory Surgery Center (ASC). The ideal candidate will have experience in a healthcare or clinical setting, a strong understanding of patient scheduling, insurance verification, and excellent communication skills. The Front Office Supervisor will ensure smooth administrative operations while leading and mentoring a team of front office staff to provide excellent service to patients, providers, and visitors.

Key Responsibilities:

  • Supervise Front Office Team: Lead, train, and manage front office staff, ensuring high standards of customer service, operational efficiency, and professionalism.
  • Patient Scheduling & Coordination: Oversee patient scheduling and check-in processes, ensuring appointments are scheduled in accordance with the center’s availability and patient needs.
  • Insurance Verification: Supervise insurance verification processes to ensure that patients’ insurance information is accurate, and claims are processed promptly.
  • Customer Service: Serve as the point of contact for patients, families, and visitors, addressing inquiries, concerns, and providing necessary information in a compassionate and professional manner.
  • Patient Flow Management: Monitor patient flow, ensuring timely check-ins, check-outs, and preparation for surgery, working closely with clinical staff to ensure optimal patient care and minimize delays.
  • Compliance & Documentation: Ensure the front office follows all regulatory requirements and maintains accurate patient records in accordance with HIPAA and other legal guidelines.
  • Reporting & Documentation: Assist with daily reporting, maintain accurate logs, and provide feedback to upper management on office operations and team performance.
  • Conflict Resolution: Address any patient or staff issues or complaints in a professional manner, escalating when necessary to management.
  • Continuous Improvement: Implement and improve administrative workflows and processes to enhance the overall patient experience and operational efficiency.

Qualifications:

  • Education: High school diploma or equivalent required; Associate’s degree or higher in Healthcare Administration or related field preferred.
  • Experience: Minimum of 3-5 years of experience in an administrative or front office role, preferably in a healthcare setting such as an ASC, medical office, or hospital.
  • Leadership Skills: Previous experience in a supervisory or leadership role, with the ability to mentor and manage a team.
  • Knowledge of Healthcare Operations: Familiarity with patient scheduling, insurance verification, and healthcare billing procedures.
  • Communication Skills: Strong verbal and written communication skills, with a focus on providing excellent customer service.
  • Technology Proficiency: Proficient in Microsoft Office Suite and experience with Electronic Health Record (EHR) systems and scheduling software.
  • Problem-Solving: Strong analytical skills with the ability to address challenges efficiently and effectively.
  • Attention to Detail: Excellent organizational skills with a keen eye for detail and accuracy.
