Emergence is seeking a compassionate and dedicated Bilingual Front Office Associate to provide culturally specific support and direction to our staff and assistance to clients, visitors, and other guests to our Juntos Program.

Bilingual Front Office Associate Responsibilities:
  • Greets clients and visitors in Spanish and English.
  • Creates a safe and welcoming environment by demonstrating Emergence core values.• Answers, screens, and directs phone calls to staff using a multi-line phone system; takes messages and schedules appointments.
  • Processes client UA's for pick-up.
  • Processes incoming and outgoing mail, documents, packages, and courier deliveries and delivers or distributes items.
  • Disseminates materials to other Emergence locations, staff, and verified outside agents and organizations as needed.
  • Receives and records client payments, issues receipts, prepares deposits, balances cash box and petty cash reports, ensures all withdrawals and deposits are entered.
  • Communicate with Accounting regarding client appointments, charges, and other information as needed.
  • Performs administrative and clerical support tasks.
  • Performs basic filing and recordkeeping.
  • Performs basic housekeeping chores as needed including ensuring all public areas are presentable, clean and organized, keep storage areas neat and organized, and other related duties as needed.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties in this job classification.
  • May require occasional travel to other office locations around Oregon.

Requirements
Front Office Associate Requirements:
  • Able to competently translate from English to Spanish and Spanish to English.
  • Able to build and maintain relationships with staff, agencies, organizations, community partners and providers to optimize treatment for clients.
  • Experience working for, with or providing customer service to at-risk communities and members who live with mental health or substance abuse addictions disorders a plus.
  • Proficient project manager with attention to detail, excellent communication skills, team leader and able to work with others.
  • Incorporates feedback into personal training plans and shares knowledge with others.
  • Meets deadlines and prioritizes requests from multiple parties.
  • Conflict resolution skills include maintaining objectivity, confidentiality, listening skills and experience as mediator.
  • Fluent in written and oral communication, able to present information through different mediums and comfortable using technology.
  • Contributes to positive culture for team and organization.
  • Passionate about the work they do, able to inspire long-term goals and implement short-term goals.
  • Approachable, responsible and inclusive while working with staff. Understanding of multicultural differences and promotes a diverse workforce while treating everyone with integrity and upholding company values.
