Job Title:             Senior Office Assistant

Reports To:        HR Sr. Administrative Assistant

Under the direction of the HR Sr. Administrative Assistant, assists in planning and coordinating administrative services for the Festival Foods GB Support Office.


ESSENTIAL FRONT DESK DUTIES AND RESPONSIBILITIES

  • Professional, energetic attitude with a quick smile
  • At work, on time, each and every day
  • Solid working knowledge of Microsoft Outlook, Excel, Word, and Power Point
  • Warmly greet all guests and notify Festival associate of guest arrival
  • Answer incoming calls and direct callers to the correct associate or location
  • Maintain lobby and front conference room appearance
  • Manage office lunch program: track daily lunch orders, send to deli, check in orders upon arrival, and reconcile payments from associates and payment to deli bi-weekly. Manage menu updates as needed with deli.
  • Coordinate raffle tickets
  • Other duties as assigned

ESSENTIAL OFFICE ADMINISTRATION DUTIES AND RESPONSIBILITIES

  • Foster an office environment that celebrates individual empowerment, encourages open communication at all levels, and embraces the Festival Foods culture
  • Coordinate all hotel reservations for traveling store associates and any other infrequent travelers
  • Monitor stock levels and place orders for a variety of supplies necessary for daily office operations
  • Manage all incoming and outgoing mail, prepare packages for shipment, coordinate pickups as needed
  • Prepare and distribute associate birthday cards monthly for all associates
  • Maintain phone and office directory
  • Collaborate with Sr. Admin to draft updates for distribution to office as needed
  • Complete monthly expense reporting for company credit card
  • Regular, timely attendance in compliance with the work schedule, and adequate notice to find a replacement for occasional absences
  • Other duties as assigned

WORK SCHEDULE

The Senior Office Assistant is a full time position with typical office hours of Monday – Friday 7:30 am to 4:00 pm.
