Scope of Job: the Office Manager oversees and manages the day-to-day operations of the office to ensure a well-functioning, efficient, and professional work environment. Provides administrative support to leaders and teams while also owning full office management responsibilities, including facilities coordination, vendor oversight, and workplace experience. Acts as a central point of coordination for office operations, ensuring alignment across departments and supporting business needs through effective planning, organization, and execution. Maintains office systems, manages resources, and ensures operational excellence across administrative and workplace functions. Ability to work alone as well as part of a wider team.
Essential Job Functions and Responsibilities:
  • Oversee daily office operations, ensuring a safe, efficient, and productive work environment
  • Manage office systems, processes, and procedures to ensure consistency and effectiveness.
  • Coordinate office facilities-related needs, including maintenance, repairs, and space management.
  • Manage relationships with office vendors and service providers (e.g., supplies, equipment, catering, maintenance).
  • Negotiate office related contracts and monitor service levels to ensure quality and cost efficiency.
  • Track and manage the office operations budget, including forecasting and expense oversight
  • Coordinate and maintain calendars for assigned leaders or teams; schedule meetings and communicate updates as needed.
  • Arrange meeting logistics, including conference room set-ups, ordering and setting up lunches, materials and technology support.
  • Ordering of all stationery and mail stock.
  • Assist with ad hoc projects
  • Assist with domestic and international travel coordination and expense processing.
  • Format, and edit documents, reports, and presentations on Word and PowerPoint.
  • Open, sort, and distribute incoming correspondence and communications.
  • Respond to inquiries and communications professionally and escalate as appropriate.
  • Plan and coordinate office events, team meetings, and employee engagement activities.
  • Ensure a welcoming and professional office environment for employees and visitors.
  • Greet visitors and provide a professional first point of contact for the office.
  • Maintain office inventory, including supplies, equipment, and shared resources.
  • Ensure proper functioning of office equipment and coordinate repairs or replacements.
  • Partner with HR, IT, and leadership to support operational needs and workplace initiatives.
  • Support implementation of office-related policies, procedures, and initiatives.
  • Maintain records management systems and ensure organization of files and documentation.
  • Identify opportunities to improve administrative workflows and office processes.
  • Collaborate with production and supporting departments to ensure the food safety and quality of our products.
  • Perform other duties as assigned.

Education: Bachelor's degree in Business Administration, Management or related field preferred.
Experience: 5-8 years of administrative, office management experience. Experience in managing office operations, vendors, and budgets preferred. Experience supporting teams or leaders in a dynamic environment. Proficiency in Microsoft Office Suite, Microsoft PowerPoint and collaboration tools.
