Position Summary

We are seeking an organized, proactive, and service-oriented Office Manager to support the Nextpower office in Mesa, Arizona, co-located with our inverter manufacturing facility. This role will be responsible for managing day-to-day office operations, administrative support, workplace coordination, visitor management, office supplies, vendor coordination, and general site support.

The Office Manager will help ensure that the Mesa office operates smoothly, professionally, and efficiently with the integration into Nextpower scaling the power conversion business. This role will work closely with site leadership, Operations, HR, Finance, Facilities, Manufacturing, and corporate teams to support employees, visitors, meetings, onboarding logistics, and office processes.

Key Responsibilities
  • Manage day-to-day office operations for the Mesa office.
  • Serve as the primary administrative point of contact for employees, visitors, vendors, and internal stakeholders.
  • Coordinate office supplies, pantry services, mail, shipping, conference rooms, office equipment, and general workplace needs.
  • Support site leadership with scheduling, meetings, travel coordination, expense reporting, presentations, and administrative tasks as needed.
  • Manage front-office activities including visitor registration, meeting coordination, badge support, and reception-related processes.
  • Coordinate with Facilities, IT, HR, and Security to support employee onboarding, workspace setup, access needs, office moves, and workplace readiness.
  • Support planning and coordination of site meetings, employee events, leadership visits, customer visits, and executive reviews.
  • Maintain office records, vendor contacts, purchase requests, invoices, and administrative documentation.
  • Partner with Finance and Procurement to process office-related purchase orders, vendor invoices, and expense tracking.
  • Coordinate with Facilities and site teams to report office maintenance needs, safety concerns, and workplace issues.
  • Support communication between the Mesa office, manufacturing site teams, and Nextpower corporate functions.
  • Help establish office processes, administrative routines, and site operating standards as the business scales.
  • Maintain a clean, professional, well-organized, and welcoming office environment.
Required Qualifications
  • Associate's or Bachelor's degree in Business Administration, Office Management, Communications, or a related field preferred; equivalent experience may be considered.
  • 8-12 years of experience in office administration, office management, site administration, executive support, or business operations support.
  • Experience supporting an office, manufacturing site, engineering center, or industrial business environment.
  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and stakeholders.
  • Excellent communication, interpersonal, and customer-service skills.
  • Strong attention to detail and ability to maintain accurate records, schedules, and administrative processes.
  • Experience coordinating vendors, office services, meetings, visitors, supplies, and workplace logistics.
  • Proficiency with Microsoft Office, Outlook, Teams, Excel, PowerPoint, and common business systems.
  • Ability to work independently, take initiative, and solve day-to-day operational issues.
  • Professional demeanor and ability to interact effectively with employees, executives, customers, suppliers, and visitors.
