Construction Office Manager / Accounting Assistant


Location: Miami, FL
Full-Time Position


We are seeking an experienced Construction Office Manager / Accounting Assistant to join our growing general contracting company in Miami.


The ideal candidate will have a strong accounting background with hands-on experience in construction accounting, job costing, AIA billing, subcontractor payments, lien releases, and project financial tracking. This position requires someone who is highly organized, detail-oriented, proactive, and comfortable managing multiple projects and priorities.


Key Responsibilities

  • Manage job cost accounting and maintain accurate project budgets and cost reports
  • Prepare and process AIA G702/G703 progress billings and pay applications
  • Track and process change orders, commitments, and project cost adjustments
  • Manage accounts payable and accounts receivable
  • Process subcontractor and vendor invoices and payments
  • Collect, review, and maintain lien releases, waivers, W-9s, insurance documents, and subcontractor documentation
  • Reconcile project costs, vendor statements, credit cards, and accounting records
  • Monitor project budgets and identify cost discrepancies
  • Prepare financial and job-cost reports for management
  • Maintain accurate cost codes and properly allocate project expenses
  • Assist with payroll, accounting documentation, and general office administration as needed
  • Coordinate with Project Managers, Superintendents, subcontractors, vendors, and management
  • Maintain organized and accurate project and accounting records

Qualifications

  • 10+ years of accounting experience
  • Construction accounting experience strongly preferred
  • Strong knowledge of construction billing, job costing, cost codes, and progress billing
  • Experience with AIA pay applications and lien releases
  • Proficient in QuickBooks
  • Advanced computer skills, including Microsoft Excel and Word
  • Strong understanding of accounts payable and accounts receivable
  • Excellent organizational and time-management skills
  • Exceptional attention to detail and accuracy
  • Ability to manage multiple projects, deadlines, and priorities simultaneously
  • Strong written and verbal communication skills
  • Ability to work independently while collaborating with project and management teams
