Job description

We are looking for a highly organized Administrative Assistant to provide short-term support for a Municipal Court in Washington. This contract position requires someone who can quickly adapt to established processes, handle a high volume of administrative work, and maintain accuracy in a fast-paced office setting. The role is ideal for a dependable individual who is comfortable managing records, supporting customer inquiries, and keeping documentation up to date.
Responsibilities:
• Verify spreadsheet records against system data and resolve inconsistencies to maintain accurate information.
• Review incoming call activity, identify urgent matters, and help prioritize responses based on need.
• Enter, organize, and maintain court-related records with a strong focus on completeness and precision.
• Examine documents and data for errors, missing details, or mismatched information and escalate issues when needed.
• Monitor payment and collections records to support accurate tracking and reconciliation.
• Sort, open, and route incoming mail while ensuring timely handling of court correspondence.
• Provide day-to-day office support through filing, copying, document preparation, and general administrative tasks.
• Assist the court team with administrative recordkeeping connected to the implementation of new court software.• Prior experience in administrative support, office coordination, or legal/court environments is preferred.
• Proficiency in Microsoft Excel and confidence working with spreadsheets and tracked data.
• Strong attention to detail with the ability to spot discrepancies and verify information accurately.
• Effective organizational skills with the ability to manage repetitive tasks and large volumes of records.
• Clear written and verbal communication skills, including strong customer service over the phone.
• Ability to learn procedures quickly, work independently after training, and remain dependable throughout the assignment.
• Familiarity with municipal court processes or basic court terminology is strongly preferred.
