As we launch and expand our impact, we are seeking a detail-oriented and compassionate Volunteer Medical Office & Billing Assistant to support the administrative and billing functions that help ensure individuals receive timely access to services and support.

Role Overview

The Volunteer Medical Office & Billing Assistant will play a vital role in supporting ANOH's administrative operations, client documentation processes, and billing-related activities. Working closely with leadership and program staff, you will help maintain accurate records, support claims and billing functions, and assist with office operations that contribute to effective service delivery.

The ideal candidate is highly organized, detail-oriented, comfortable working with confidential information, and interested in gaining experience in healthcare administration, nonprofit operations, or medical billing.

Key Responsibilities

Medical Office Administration

  • Assist with day-to-day administrative operations and office support activities.
  • Help maintain accurate client records and electronic documentation.
  • Support intake, referral, and scheduling processes as needed.
  • Assist in organizing, filing, and maintaining confidential client and organizational records.
  • Prepare administrative documents, correspondence, and reports.
  • Help ensure compliance with organizational policies and documentation standards.

Billing & Claims Support

  • Assist with the preparation, review, and submission of billing documentation.
  • Help verify the accuracy and completeness of service records prior to billing submission.
  • Support tracking and reconciliation of claims, payments, and revenue-related activities.
  • Assist in maintaining billing records and supporting documentation.
  • Help identify missing information and follow up on documentation requirements.
  • Support the billing process by ensuring records are organized and up to date.

Documentation & Record Management

  • Maintain accurate and organized electronic and paper records.
  • Review documentation for completeness and consistency.
  • Assist with data entry and database maintenance.
  • Help track client-related service information and billing documentation.
  • Ensure confidential information is handled securely and professionally.
  • Support record retention and documentation management procedures.

Reporting & Data Management

  • Assist with compiling administrative, billing, and operational reports.
  • Help track service utilization, billing activity, and performance metrics.
  • Support data quality review and accuracy checks.
  • Generate reports and spreadsheets as requested by leadership.
  • Assist with monitoring documentation compliance and administrative workflows.

Client & Provider Support

  • Assist with responding to general administrative inquiries.
  • Support communication between staff, service providers, and community partners as appropriate.
  • Help coordinate administrative follow-up related to services and billing.
  • Provide professional and courteous support to individuals seeking information about services.
  • Assist with maintaining a positive and welcoming client experience.

Collaboration & Organizational Support

  • Work closely with leadership, peer support staff, and volunteers to support organizational operations.
  • Participate in team meetings and contribute ideas for improving administrative and billing processes.
  • Assist with special projects related to organizational growth and service expansion.
  • Support efforts to enhance operational efficiency and service delivery.
  • Contribute to a culture of professionalism, compassion, and accountability.

Qualifications

Required

  • Minimum of 1-2 years of experience in administrative support, healthcare administration, medical office operations, billing, bookkeeping, customer service, or a related field.
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Strong data entry and record-management skills.
  • Ability to work independently and manage multiple priorities.

Preferred

  • Experience in medical billing, healthcare administration, behavioral health, peer support services, or nonprofit organizations.
  • Familiarity with insurance billing processes, claims management, or revenue cycle functions.
  • Knowledge of Medicaid, Medicare, or commercial insurance billing procedures.
  • Experience working with electronic health records (EHR) systems or client management databases.
