Sr. Executive Talent Acquisition Coordinator

Location: 100% Remote (Must work EST schedule)
Hours: Full-Time, 40 hours/week (Monโ€“Fri, 8:30 AM โ€“ 5:00 PM EST)


Job Summary

The Sr. Executive Talent Acquisition Coordinator plays a critical role in supporting the Executive Search and Talent Acquisition teams. This position is responsible for managing high-volume, high-touch coordination across the full recruitment lifecycle for executive-level roles. The ideal candidate brings strong operational discipline, executive presence, and a sense of urgency, ensuring a seamless and exceptional experience for both candidates and senior leaders.

This is a fully remote role, however, candidates must be comfortable working EST hours and participating in on-camera interviews and meetings.


Key Responsibilities
  • Deliver an exceptional candidate experience from interview through offer and start date.

  • Coordinate and schedule all interviews (phone, video, in-person) including logistics, agendas, and evaluations.

  • Partner closely with executive leaders, recruiters, admins, and agencies to meet tight deadlines.

  • Schedule intake calls, hiring strategy discussions, and post-interview debrief sessions.

  • Process candidate travel and expense reimbursements accurately and on time.

  • Support offer creation, offer letter processing, and new hire documentation.

  • Initiate and track background checks, drug screens, and I-9 compliance.

  • Assist with onboarding activities including Day 1 readiness, badge requests, and equipment coordination.

  • Maintain accurate candidate data and requisition activity within Workday, ensuring OFCCP compliance.

  • Track multiple priorities simultaneously while managing confidential and time-sensitive information.


Required Qualifications (Must Haves)
  • 7+ years of experience in Human Resources, Talent Acquisition, or a Recruiting/HR Coordinator role.

  • Strong proficiency in Microsoft Office Suite, including:

    • Outlook (email communication, scheduling, calendar management)

    • Word (document creation and saving)

    • File and folder organization

  • Hands-on experience with Workday (required).

  • Ability to operate with urgency in a fast-paced, executive-level environment.

  • Strong organizational skills with exceptional attention to detail and follow-through.

  • Professional demeanor and executive presence, especially in on-camera interactions.

  • Ability to work independently while collaborating effectively with cross-functional teams.

  • Reliable remote work setup with a quiet, professional workspace.
