Hanley Foundation is a non-profit organization with a mission to eliminate addiction through prevention, advocacy, treatment, and recovery support. We are seeking a highly organized, service-oriented Human Resources Coordinator who brings sound judgment, discretion, and follow-through to a fast-paced, mission-driven environment.


The HR Coordinator is responsible for executing the organization's high-volume hiring needs and day-to-day HR operations, with primary responsibility for recruitment coordination, onboarding administration, compliance tracking, credential monitoring, and employee support related to HR systems, benefits, and timekeeping. This position exercises operational discretion over day-to-day administrative processes and escalates complex employee relations, legal compliance, and major policy matters to the Director of Human Resources.


Duties & Responsibilities:ย

  • Recruitment Coordination and Management: Manage and coordinate the recruitment process by tracking position requisitions, posting open positions, screening candidates, conducting phone screens, scheduling interviews, and preparing weekly recruitment and vacancy metrics for the HR Director.
  • Onboarding & New Hire Administration: Partner with the Training Coordinator to execute frequent New Employee Orientation. Direct the processing of initial onboarding compliance documents to optimize time-to-hire. ย Facilitate new hire onboarding by entering new employee information into various systems to enable access.ย 
  • Payroll & Timekeeping Coordination: ย Assist supervisors and employees with timesheet and time off questions, track position and compensation changes for each payroll cycle, and assist with the resolution of hours-worked or tracking discrepancies before final payroll submission.
  • Separation & Offboarding Processing: Administer offboarding workflows and process final separation in HR systems. Facilitate exit interviews to assist the HR Director with analyzing turnover trends and retention strategies.
  • HR Information & Compliance Auditing: Work with the HR team to audit and maintain HR records in audit-ready status to ensure compliance with federal and state laws and required business regulations. Manage employee lifecycle profile accuracy across payroll, benefits, and tracking systems during periods of position and staffing changes. Assist the HR Director with employee positions and compensation maintenance, including updating and organizing job descriptions to maintain accurate role definitions.ย 
  • Leave & Benefit Administration: Assist employees with benefit elections and employee leave questions. Coordinate the collection of compliance paperwork, evaluate initial eligibility, and route complex accommodations or legal inquiries to the HR Director.
  • General HR Assistance and Policy & Procedure Guidance: Act as the primary point of contact for routine employee inquiries, answering questions regarding workplace procedures with professionalism. Guide managers and employees on implementation of Hanley Foundation policies and procedures and ensure organizational adherence to patient and staff confidentiality practices.

This role does not have supervisory responsibility. ย ย ย 

Travel is not expected for this position.

Work Environment:

Regular on-site work in a professional office setting using standard electronics (computers, printers, phones) and handling physical paperwork and inventory.

Requirements

Education/Experience/Qualifications:

  • Bachelor's degree in human resources, business, or a related field preferred (or an equivalent combination of education and direct experience).
  • Minimum of three (3) years of business or administrative experience within a Human Resources department (healthcare, non-profit, or behavioral health experience preferred).
  • Advanced proficiency with Microsoft Office Suite (especially Word, Excel, Outlook, Teams) and direct prior experience managing data within an HRIS/payroll platform (Paylocity or similar enterprise system).
  • Strong recruiting, payroll, benefits, and employment records management experience.
  • PHR or SHRM certification preferred.
  • Experience supporting new hires with self-service systems, timekeeping, onboarding forms, and benefits enrollment.
  • If in recovery, 1 year of continuous sobriety is required.ย

Physical Demands:

  • Regularly required to sit, stand, walk, talk, hear, and use hands and fingers to handle or feel.
  • Frequently required to reach with hands and arms.
  • Occasionally required to stoop, kneel, balance, crouch, or crawl.
  • Must lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required include close computer screen work and reading complex documents.
