We are looking for a dependable and detail-oriented Bilingual Administrative Assistant to support our accounting and administrative team. This role plays an important part in keeping our office operations organized and running smoothly.The ideal candidate is organized, attentive to detail, comfortable working with spreadsheets and documents, and able to manage multiple administrative tasks.
Responsibilities:
  • Managing the front desk and greeting employees and visitors.
  • Create, schedule, and maintain content for company social media platforms.
  • Gather photos, updates, and highlights from job sites.
  • Assist with the development and formatting of the monthly company newsletter.
  • Track employee call-ins, sign-ins, schedules, and jobsite attendance.
  • Monitor years of service and coordinate anniversary recognition, including Nectar point awards.
  • Assist employees with applications, onboarding steps, and general questions (English & Spanish).
  • Provide jobsite directions and send required field forms or documents.
  • Track QA/QC items and jobsite huddle completion.
  • Manage the check-in/check-out process for company tools and equipment.
  • Upload and organize documents for Operations and Safety.
  • Support the rollout of new CDM programs and initiatives.
  • Answer and route incoming phone calls in a professional manner.
  • Take and distribute accurate meeting notes.
  • Maintain organized employee files, sign-in sheets, surveys, and other documents.
  • Prepare simple reports, spreadsheets, checklists, and follow-up lists.
  • Assist with planning meetings, events, recognition moments, and office gatherings.
  • Keep office supplies stocked and maintain an organized workspace.
  • Provide general day-to-day administrative support to keep operations running smoothly.
  • Attend and participate in all required company training programs.
  • Conform to all company policies and procedures.

Qualifications:
  • 2 plus years receptionist and/or administrative experience.
  • Must be bilingual (English & Spanish).

  • Ability to work effectively with both office and field teams.
  • Positive attitude and a willingness to help wherever needed.
