Position Summary

The Driver Check-In Coordinator serves as a critical administrative and operational support role responsible for managing driver arrivals and departures, verifying shipment documentation, conducting yard checks, and maintaining accurate records within company systems. This position acts as a key communication hub between drivers, warehouse personnel, and operations management to ensure freight movements are accurately documented, compliant, and executed efficiently.

The ideal candidate is highly organized, detail-oriented, proficient with Outlook and Warehouse Management Systems (WMS), and capable of managing multiple priorities in a fast-paced transportation environment.

Essential Duties and Responsibilities

Driver Check-In and Check-Out

  • Greet and check in drivers upon arrival.
  • Verify driver paperwork for completeness and accuracy.
  • Ensure all required shipping and transportation documents are properly completed and signed.
  • Check drivers out upon departure and confirm all paperwork has been collected and processed.
  • Communicate dock assignments, loading/unloading status, and operational updates to drivers.

Documentation & Administrative Support

  • Review Bills of Lading (BOLs), manifests, load paperwork, and other transportation documents for accuracy.
  • Ensure shipment documentation matches scheduled loads and system records.
  • Identify and resolve discrepancies before loads are released.
  • Maintain accurate records and filing of transportation documents.
  • Process data entry and update shipment information in company systems.

Yard Management

  • Conduct routine yard checks to verify trailer locations and status.
  • Monitor trailer inventory and report discrepancies.
  • Maintain accurate yard tracking within the WMS and other operational systems.
  • Communicate trailer movements and yard conditions to operations staff.

Communication & Coordination

  • Serve as the primary point of contact for drivers entering and leaving the facility.
  • Coordinate with warehouse personnel, transportation teams, and management to ensure smooth operations.
  • Respond promptly to emails and operational communications.
  • Escalate issues impacting service, compliance, or operational efficiency.

Compliance & Accuracy

  • Ensure adherence to company policies, transportation procedures, and safety requirements.
  • Maintain confidentiality and accuracy of operational records.
  • Support audits and reporting activities as needed.
  • Promote a safe and professional work environment.

Required Qualifications

  • High school diploma or equivalent required.
  • Minimum 1-2 years of administrative, transportation, logistics, warehouse, or dispatch experience preferred.
  • Experience working in a fast-paced operations environment.
