Job description

Position Summary
The Sales & Delivery Coordinator supports the sales, production, and delivery process by entering and maintaining sales orders, creating production work orders, preparing shipping paperwork, coordinating delivery schedules, and communicating with dealers, drivers, and internal teams. This position serves as a key point of contact to help ensure orders are processed accurately, production stays informed, deliveries are scheduled efficiently, and customers and dealers receive timely support.
Essential Duties and Responsibilities
The essential functions listed below are representative of the duties performed in this role. Other duties may be assigned as business needs require.
  • Enter sales orders accurately and maintain current order information.
  • Communicate with dealers regarding order approvals, changes, questions, delivery dates, and schedule updates.
  • Create work orders for production and coordinate with assembly production to help keep orders moving through the process.
  • Prepare trailer stacking sheets for scheduled deliveries.
  • Create Bills of Lading and other required shipping paperwork.
  • Schedule delivery drivers and coordinate delivery timing between drivers, dealers, and internal departments.
  • Keep order status, delivery details, and related documentation up to date.
  • Assist in resolving order, production, shipping, or delivery issues as they arise.
  • Provide professional customer and dealer support related to orders, delivery timelines, and general order questions.
  • Assist with office duties and other administrative tasks as needed.
  • Take on additional responsibilities as the position develops and business needs evolve.

Qualifications
Education and Experience
  • High school diploma or GED required.
  • 2-5 years of related experience and/or training, or an equivalent combination of education and experience preferred.
  • Prior experience in order entry, customer service, sales coordination, shipping, dispatch, logistics, or administrative support preferred.
  • Experience working in a manufacturing, production, transportation, or dealership environment is a plus.
  • Computer proficiency required, including Microsoft Office applications; experience with ERP (Epicor preferred), order management, or shipping systems preferred.

Language Skills
  • Ability to read, write, and interpret instructions, correspondence, order documentation, and shipping paperwork.
  • Ability to communicate effectively in one-on-one and small group settings with dealers, customers, drivers, coworkers, and management.

Reasoning Ability
  • Ability to apply common-sense understanding to carry out written and verbal instructions.
  • Ability to solve practical problems and help resolve order, production, shipping, or delivery issues in standardized situations.
